Job Summary:

Maskine is an industrial automation consulting engineering firm with 8 engineers. We utilize modern software practices to program automated manufacturing equipment in factories for customers in various industries.

 

At present, the president of Maskine is managing all projects, sales, and recruitment within the company. To support future growth, Maskine is seeking an Administrative Assistant to assume these responsibilities and allow the president to concentrate on expanding the business.

 

As the Administrative Assistant at Maskine, you will be pivotal in coordinating and supporting the seamless execution of industrial automation projects. Reporting directly to the President, you will be responsible for coordinating project logistics, coordinating sales of projects, and assisting with recruiting.

 

Key Responsibilities:

  • Project coordination:
  • Plan and book travel for projects.
  • Review engineer timesheets to ensure accurate invoices for projects.
  • Prepare invoices
  • Facilitate communication between project engineers and clients.
  • Project Sales coordination:
  • Manage customer data in CRM
  • Draft project proposals for clients for review by engineers
  • Facilitate communication with clients during sales process
  • Plan events to facilitate networking with clients and partners
  • Answer sales phone calls and direct to engineers
  • Follow up with long-time clients
  • Order SWAG
  • Recruiting coordination:
  • Plan university career fairs
  • Organize applicant data
  • Facilitate interviews with candidates
  • Handle onboarding tasks
  • Support President
  • Execute company improvement projects alongside President
  • Coordinate performance reviews and company surveys
  • Coordinate emails

 

 

 

 

Qualifications:

  • Bachelor's degree
  • Strong organizational and multitasking skills, with a keen attention to detail.
  • A proactive individual who takes the initiative to drive progress
  • Excellent communication and interpersonal skills
  • Proficient in Microsoft 365 and project management software
