Location: Remote, based in the United States 

Reports to: Chief of Staff

Classification: Full-time, exempt

Term: Permanent, no end date

Executive Operations Associate Overview: 

The Executive Operations Associate is a key member of Maremoto's executive team, providing operational support to executive leadership, working closely with the Deputy Executive Director on daily operations including calendar management, briefings, communications, meeting preparation, and report synthesis. Working at the intersection of executive support, project coordination, and organizational operations, this person helps the Deputy Executive Director stay prepared, informed, and focused, and also serves the broader leadership team by extension. 


Reporting directly to the Chief of Staff, the position supports organizational priorities through strong coordination, project management, and cross-functional collaboration. 


This is not an administrative assistant role. This is a role for someone who takes initiative, communicates clearly, and has the ability to synthesize information and move work forward proactively and independently. Executive Operations Associate Responsibilities: 

Program Meeting Coordination & Management (15%)

  • Manage the cadence and coordination of programmatic meetings that interact with the Deputy Executive Director, ensuring all recurring and project-based meetings are happening on schedule, well-prepared, and moving work forward effectively (this role is less about putting meetings on a calendar and more about making sure the right meetings are happening and producing results)
  • Track next steps and action items coming out of key meetings, ensuring follow-through is clear, assigned, and completed
  • Support the Deputy Executive Director in approaching meetings with clear objectives, relevant context, and the materials needed for productive engagement


Executive Operations Support (35%)

  • Prepare a briefing before every significant meeting, including background, attendees, objectives, and talking points for the Deputy Executive Director to review beforehand 
  • Create the first draft of the Deputy Executive Director’s weekly communications every week
  • Synthesize direct report updates and program inputs into a first draft of executive reports every cycle
  • Create board meeting presentation materials by taking direction from the Chief of Staff on structure and content and producing slide-ready materials the Deputy Executive Director can review and finalize
  • Maintain a shared system for receiving work from the Deputy Executive Director, including a standing daily or weekly touchpoint and a live task list to ensure priorities are always clear and to promote continuity


External Relationships & Accountability (20%)

  • Maintain a running record of key external relationships, including funders, vendors, and partners, and track what has been promised, what is outstanding, and when follow-up is due
  • Track and coordinate action items across meetings and stakeholder interactions to support accountability and successful execution
  • Proactively flag anything stalled or overdue to the Chief of Staff or Deputy Executive Director before it escalates into an issue


Cross-Team Coordination (30%)

  • Organize and document vendor-related requests from teams and departments before they reach the Chief of Staff or Deputy Executive Director
  • Attend and track key internal meetings and maintain a living record of decisions and outstanding items
  • Close the loop on action items across all contexts, including staff/internal meetings, cross-team collaboration, and direct report check-ins
  • Send follow-up communications after cross-departmental meetings and track action items through to completion


Executive Operations Associate Qualifications: 

Skills

  • Strong written communication skills with the ability to write clearly and quickly in an organizational voice across a variety of formats
  • Ability to synthesize multiple sources of information into coherent summaries, briefings, and reports
  • Strong organizational skills and meticulous attention to detail, with a proven track record of follow-through and closing the loop without being prompted
  • Sound judgment and discretion, with the ability to handle sensitive information at the executive level with professionalism and care
  • Comfortable operating with autonomy and managing competing priorities in a fast-moving environment


Experiences

  • Prior experience in a fast-paced organizational environment, ideally in a nonprofit, advocacy, or political context
  • Experience managing vendor or partner relationships
  • Experience supporting senior leaders or executives in a high-level coordination or project management capacity
  • Familiarity with Google Workspace, Slack, Notion, and Project management tools


Knowledge

  • Understanding of organizational dynamics and executive-level operations
  • Awareness of and sensitivity to the political, cultural, and advocacy landscape in which Maremoto operates


The ideal Executive Operations Associate candidate is: 

  • Proactive and anticipatory, and does not wait to be asked; they see what is coming, prepare accordingly, and flag issues before they escalate
  • A clear and efficient communicator who writes well, quickly, and in a voice that serves the organization and its leadership
  • Detail-oriented and reliable, and able to track commitments, close loops, and can be counted on to follow through consistently and without reminders
  • Discreet and trustworthy, operating inside executive-level conversations and understand the responsibility that comes with that access
  • Organized and systems-minded, and able to build and maintain the structure that keeps leadership informed and moving forward
  • Mission-driven and  genuinely invested in Maremoto's work and bring a sense of purpose to every task, large or small


Some nights and occasional weekend work may be required based on travel, events, organizational priorities, or urgent needs. Travel may be required periodically, including  an annual staff retreat and occasional in-person coworking sessions with the Deputy Executive Director, which may look like 1–2 times per month or quarter. When the Deputy Executive Director is traveling for events, there may be opportunities to meet in-person and work together on-site. 


Executive Operations Associate Compensation

  • Salary: $65,000-$75,000 annually, less payroll taxes and other withholdings

Salary

$65,000 - $75,000 per year
