The Operations Business Support Lead provides high-level operational, administrative, compliance, systems, and business support to the Vice President of Operations and Operations Leadership Team. This role serves as a central coordination point between Operations, Engineering, Safety, Business Development, Accounting, HR, field teams, vendors, and executive leadership to support efficient processes, regulatory readiness, documentation accuracy, and operational consistency.

Description

Responsibilities

  • Provide direct operational and administrative support to the VP of Operations, including calendar coordination, meeting logistics, travel arrangements, reports, presentations, agendas, meeting notes, action items, and executive follow-up.  
  • Administer and maintain key business systems, records, trackers, workflows, document repositories, and operational platforms, including Microsoft 365, SharePoint, Expensify, KnowBe4, Microsoft Forms, and other company-designated systems.  
  •  Support project and field operations through project documentation, job status tracking, scheduling, travel and lodging coordination, supply support, mobilization/demobilization activities, proposal/contract documentation, and field personnel credential tracking.  
  • Coordinate compliance and customer documentation, including contractor compliance platforms, Certificates of Insurance, licensing requirements, customer prequalification records, vendor onboarding documents, company registrations, permits, certifications, apprenticeship documentation, and contract compliance support.  
  • Support fleet, equipment, facilities, and asset administration, including vehicle records, inspections, toll accounts, equipment assignments, inventories, calibration tracking, Intellirent coordination, maintenance documentation, and corporate housing readiness.  
  • Assist with purchase orders, invoice routing, expense tracking, vendor records, job cost support, operational reports, utilization metrics, compliance trackers, executive summaries, dashboards, and operational analytics.  
  • Support onboarding/offboarding readiness, system access coordination, training assignments, required documentation, employee communications, and confidential operational, employee, financial, vendor, and customer information.
  • Assist with oversight and coordination of company-provided corporate housing and conduct periodic visits to verify readiness, cleanliness, safety, inventory levels, and operational needs; identify maintenance, inventory, or facility concerns and coordinate corrective actions with internal stakeholders and vendors.
  • Support preparation for training events, meetings, and other business activities.
  • Identify opportunities to improve operational workflows, documentation accuracy, reporting, standard operating procedures, forms, trackers, templates, and Microsoft 365-based process improvement initiatives.

Qualifications & Experience

  • High school diploma or GED required; associate’s or bachelor’s degree in business administration, management, operations management, or a related field strongly preferred.
  • 3–5+ years of experience in operations support, project coordination, business administration, compliance administration, executive support, or a related business operations role.
  • Experience supporting operations leadership, executive leadership, or cross-functional business teams preferred.
  • Experience in construction, industrial services, engineering, electrical contracting, energy, field service, or similar environments strongly preferred.
  • Strong verbal and written communication skills with the ability to collaborate across departments and present information clearly.
  • Experience managing business systems, operational documentation, customer compliance platforms, vendor records, fleet/equipment records, or reporting processes preferred.
  • Advanced proficiency with Microsoft 365, including Outlook, Word, Excel, PowerPoint, Forms, SharePoint, and related collaboration tools.
  • Experience with workflow automation, Power Automate, SharePoint administration, Expensify, KnowBe4, ADP, QuickBooks, Sage, Procore, Smartsheet, ERP systems, project management systems, ISNetworld, Avetta, or similar platforms preferred.

  • Valid driver’s license and reliable transportation may be required based on assigned duties.

Physical Requirements

  • Regular office and computer work, including use of standard office equipment and electronic records.
  • Ability to sit and work at a workstation for extended periods.
  • Occasional lifting of office materials or supplies up to 20 pounds.
  • Must be able to travel locally to company offices, storage locations, corporate housing properties, customer sites, and vendor facilities as business needs require.
