Job Summary:
We are seeking a highly organized and motivated Logistics Coordinator to join our dynamic team and help bring our events to life. In this role, you will play a pivotal role in identifying and researching wedding locations, venues, and vendors while managing key logistical components of wedding planning. The ideal candidate will thrive in a collaborative environment, have strong communication skills, a keen eye for detail and be process oriented.
Key Responsibilities:
- Venue & Vendor Research: Identify and research wedding locations, venues, and vendors across categories including photography, videography, catering, entertainment, beauty, wedding attire, transportation, travel, and hotel room blocks.
- Request for Information (RFI) and Proposals (RFP): Prepare, distribute, and evaluate RFIs and RFPs to secure the best services for clients.
- Event Logistics Coordination: Assist in managing logistics to ensure smooth execution of events, from initial planning stages through event completion.
- Communication: Maintain consistent and clear communication with clients, vendors, and internal teams.
- Process Management: Utilize technology to provide transparency across the project roadmap, organize tasks, and deliver on project goals effectively.
- Budget Management: Track costs and ensure adherence to allocated budgets.
- Problem-Solving: Proactively troubleshoot issues and develop solutions to ensure flawless execution.
Required Qualifications:
- Proven experience in event logistics, event planning, or related fields (wedding experience preferred).
- Strong knowledge of wedding industry trends and standards.
- Exceptional organizational skills with the ability to manage multiple tasks and deadlines.
- Excellent communication and interpersonal skills.
- Proficient in Google Sheets or Excel, Slack, Notion, and Canva.
- Self-motivated and capable of working independently as well as part of a team.
- Experience in event design and production is a plus.
