Job Description:

We are looking for a detail-oriented Office Manager & Accounting professional to own our day-to-day business operations. You'll split your time between the money side — collections follow-up, payment application, monthly close support, working directly with ownership and our CPA firm — and the office side: samples, vendors, supplies, and the events that keep our team connected. Our automated finance pipelines handle the categorizing, matching, and report generation; we need your judgment and follow-through to keep things buttoned up tight.


Key Responsibilities:

Accounting & Commissions


  • Work the commissions receivable queue: send manufacturer commission statements, follow up on overdue payments, request remittance detail, and log resolutions
  • Apply manufacturer payments against invoices in our sales system (OASIS) and keep records closed out accurately
  • Support the month-end close: reconciliation checklists, exception review, and flagging anything that doesn't tie
  • Keep receipt and expense compliance on track across our corporate card program
  • Assist ownership and our CPA firm with year-end tax package items, 1099s, and document collection


Office & Administration


  • Own the product sample library: check-in/check-out, tracking, returns to manufacturers, and keeping the showroom presentable
  • Manage office vendors — repairs, maintenance, cleaning, and service contracts — from scheduling through invoice
  • Keep the office stocked: kitchen, snacks, supplies, and the small things that keep a team happy
  • Help plan and execute company events, trainings, and manufacturer visits


Qualifications:


  • 3+ years in office management, bookkeeping, or administrative operations roles wearing more than one hat
  • Comfortable with numbers: payment application, reconciliations, and reading an aging report without flinching
  • Politely relentless — you follow up until it's resolved, and people still like getting your emails
  • Organized to a fault: inventory, calendars, vendor files, and follow-through
  • Proficiency in Excel and QuickBooks (or similar); comfort working alongside automated/AI-assisted tools
  • Hybrid Work Environment
  • High school diploma or equivalent required; Associate's or Bachelor's degree preferred
