Description

Position Summary

The Client Concierge is the first voice a prospective patient or customer hears when they reach out to one of Lifted Logic's clients. You represent 4-6 client businesses, primarily medical aesthetics and healthcare practices, as a direct extension of their in-house teams. When a new lead fills out a form, calls a tracking number, or texts, you respond within 30 minutes, answer their questions using that client's approved talking points, and book them for a consultation in the client's scheduling system. You are measured on speed-to-lead, follow-up consistency, and booked appointments.

This role sits on the Client Success team and works alongside the Account Managers and Strategic Growth team who manage each client relationship and the campaigns generating the leads you handle. This is not a marketing or agency account role. It is a phone-first, appointment-setting role for someone who is excellent with people and disciplined about process.

Essential Job Functions

  • Own all new lead inquiries for assigned client accounts: website forms, calls and texts to client tracking numbers, referrals, and re-engagement of past clients
  • Respond to every new lead within 30 minutes during coverage hours
  • Execute a 12-touchpoint follow-up cadence by phone, text, and email for leads that do not book on first contact
  • Schedule consultations directly in each client's EMR/EHR or booking system and track every converted lead
  • Transfer general inquiries, cancellations, and rebookings to the client's front desk
  • Log every touchpoint and outcome in Lifted Logic's CRM; all calls are recorded
  • Learn and maintain each client's services, pricing positioning, providers, locations, hours, and restrictions from their onboarding documentation, and switch between client voices fluidly through the day
  • Send a weekly recap per client by 5pm CST Friday: leads handled, touchpoints completed, appointments booked, outbound calls made, and recurring questions or objections
  • Communicate planned absences in writing with a backup coverage plan in place
  • Flag patterns to the Account Manager and Strategic Growth team: common prospect questions, pricing friction, broken forms, or anything that should change how a campaign is run

Support Job Functions

  • Participate in client onboarding and training sessions as new accounts are added
  • Implement client-requested changes to positioning or call handling after they are provided in writing
  • Assist with occasional client communication for events and promotions

Position Requirements

  • 1+ year in a front desk, patient coordinator, receptionist, inside sales, or call center role; medical aesthetics, dental, or healthcare experience strongly preferred
  • Warm, confident phone presence and comfort making outbound follow-up calls to people who have not responded
  • Excellent written communication for text and email follow-up
  • Ability to hold multiple client scripts, offerings, and voices at once without mixing them up
  • High attention to detail and disciplined, same-day data entry
  • Process oriented; follows cadences and scripts while adapting to the live conversation
  • Comfortable discussing aesthetic, wellness, and medical services professionally
  • Experience with a CRM and scheduling or EMR software is a plus; full training provided
  • Ability to work within a growing company and adapt to evolving processes

Schedule: Hybrid. All employees are required to be in office 3 days a week (Tuesday, Wednesday, and Thursday).

Salary

$45,000 - $55,000 per year
