
The Program Coordinator supports the successful operation of Let Me Run teams throughout an assigned territory in the Pacific Northwest, working up to 10 hours per week and reporting to the Seattle Regional Director. This role provides administrative and program support, including participant and coach registration, coach training and assistance, family communications, scholarship tracking, team readiness oversight, and data management and reporting to help ensure a high-quality experience for boys, coaches, and families.

Let Me Run seeks a highly organized, dependable, and mission-driven Program Coordinator who resides in the greater Seattle, WA area and provides administrative and operational support for Let Me Run teams throughout an assigned territory in and around the Pacific Northwestern states. This part-time position plays an important role in ensuring a positive experience for boys, coaches, and families by supporting team operations, volunteer management, participant registration, communications, and data tracking.
Working closely with the Seattle Regional Director, the Program Coordinator helps ensure that teams are properly staffed, trained, prepared, and supported throughout each season. The ideal candidate is detail-oriented, responsive, comfortable working independently in a remote environment, and passionate about youth development and volunteer engagement.
• Manage participant and coach registration processes for assigned teams and regions.
• Monitor registration activity and communicate with families, coaches, and school partners regarding registration requirements and deadlines.
• Assist with resolving registration issues and ensuring accurate participant records.
• Maintain confidentiality and accuracy of participant and volunteer information.
• Support volunteer coach recruitment, onboarding, and training efforts.
• Assist coaches in completing required training, background screening, and program requirements.
• Serve as a point of contact for coaches regarding program procedures, timelines, and resources.
• Coordinate distribution of coaching materials and program information.
• Communicate with parents and guardians regarding registration, scholarships, team status, and program logistics.
• Respond promptly to participant and family inquiries.
• Assist in distributing seasonal communications, reminders, and program updates.
• Help ensure families receive timely and accurate information throughout the season.
• Track participant scholarship applications and awards.
• Maintain accurate scholarship records and documentation.
• Assist families with scholarship-related questions and application processes.
• Provide scholarship data and reports as requested.
• Monitor team readiness and assist with ensuring teams have completed all required pre-season requirements.
• Coordinate with coaches and regional leadership to address operational needs before and during the season.
• Assist with ordering, tracking, and distribution of program materials and supplies as needed.
• Support seasonal program launches and team management activities.
• Maintain accurate program data within organizational databases and systems.
• Track participation, volunteer, scholarship, and team information.
• Generate reports and provide data support for the Seattle Regional Director and organizational leadership.
• Assist with quality control and data verification efforts.
• Maintain organized records and documentation related to assigned teams and program operations.
• Support special projects and seasonal initiatives as assigned.
• Participate in team meetings and training sessions as requested.
• Perform other duties as assigned by the Seattle Regional Director.
• High school diploma or equivalent
• Strong organizational and administrative skills
• Excellent written and verbal communication abilities
• Strong attention to detail and accuracy
• Proficiency with Microsoft Office and/or Google Workspace
• Ability to work independently and manage multiple tasks simultaneously
• Comfortable working in a fully remote environment

• Associate’s or Bachelor’s degree
• Experience working with youth-serving nonprofit organizations
• Experience supporting volunteer-led programs
• Experience with registration systems, databases, or CRM platforms
• Experience in customer service, program administration, or nonprofit operations
• Hourly position averaging up to 10 hours per week
• Flexible schedule with work primarily performed remotely
• Occasional evening and weekend availability may be required during peak registration and program launch periods
