THE POSITION

This role is responsible for supporting the administrative functions of the management team to help them stay organized and complete tasks that allow them to focus on more advanced responsibilities. Duties in this position vary from day to day and  involves a wide range of tasks, always involved with organization and efficiencies within operations. Working in a collaborative and engaging environment, you will have the chance to interact with people from all walks of life and no two days will be the same. The exercise of reasonable initiative and independent judgment is required in communicating with internal and external staff.


ESSENTIAL FUNCTIONS

The following duties are normal for this position. The omission of specific statements of the duties does not exclude them from the classification if the work is similar, related, or a logical assignment for this classification. Other duties may be required and assigned.

 

  • Answer phones and greet visitors.
  • Schedule appointments and maintain calendars.
  • Schedule and coordinate staff and other meetings.
  • Collate and distribute mail.
  • Prepare communications, such as memos, emails, invoices, reports and other correspondence.
  • Write and edit documents from letters to reports and instructional documents.
  • Create and maintain filing systems, both electronic and physical.
  • Calmly attempt to resolve and de-escalate any issues.
  • Escalate interactions when necessary and appropriate.
  • Respond to requests for assistance and/or possible processing of internal clients.
  • Track all call related information for reporting purposes.
  • Monitors and track expenses.
  • Receive, track, process, and filing of documents.
  • Perform administrative task as it pertains to permitting.
  • Operates a personal computer, telephones, copiers and other general office equipment as necessary to complete essential functions, to include the use of word processing, spreadsheet, database, or other system software.

 

KNOWLEDGE, SKILLS AND ABILITIES

Considerable Knowledge of: Standard office practices and procedures; Microsoft Office applications.  

Ability to: Work independently and have excellent organization skills, communication skills, both oral and written. Motivated. Ability to work in a constantly changing and fast-paced environment. Ability to stay composed and objective.

 

MINIMUM QUALIFICATIONS

High school diploma or GED; any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job. Customer service experience desired.


LICENSES OR CERTIFICATIONS 

Possession of a valid driver’s license required.

May be required to obtain and maintain a Notary certification.

ADA COMPLIANCE

Physical Ability: Tasks require the ability to exert very moderate physical effort in light work, typically involving some combination of stooping, kneeling, crouching and crawling, and which may involve some lifting, carrying, pushing and/or pulling of objects and materials of moderate weight (12-20 pounds).

 

Sensory Requirements: Some tasks require the ability to perceive and discriminate sounds and visual cues or signals. Some tasks require the ability to communicate orally.

 

Environmental Factors: Essential functions are regularly performed without exposure to adverse environmental conditions.

Salary

$16 - $23 per hour
