About the role

This role supports the CEO and keeps the office running. It is a mix of executive support, office management, company events, and hands-on help with our marketing and tradeshow effort.

It suits someone early in their career who is organized, resourceful, and wants exposure across a whole company rather than a narrow lane. You will work directly with the CEO, our Director of People & Operations, our Chief Growth Officer, and our Senior Executive Assistant. Property and household management sits with a separate role on the team, so this position stays focused on the business.

What you’ll own

  • Calendar and scheduling. Managing the CEO’s calendar, booking and rescheduling meetings, resolving conflicts, protecting focus time, and making sure the day actually holds together. That means making judgment calls about what moves and what doesn’t.
  • Inbox and communications support. Working the shared travel, HR, and admin inboxes in Front. Keeping them clean, routing what belongs to someone else, and surfacing what needs the CEO. Over time, helping triage the CEO’s inbox and flagging what needs a decision.
  • Team travel. Flights, hotels, and ground transportation for the CEO and the sales team heading to tradeshows and vendor meetings. This comes up regularly, so you will learn our loyalty accounts and preferences and run it end to end.
  • Office management. Supplies and grocery orders, equipment and desk setup for new hires, visitor preparation, office vendor accounts, and generally noticing what needs handling before anyone asks.
  • Company events. Quarterly outings, the holiday party, summer events, and client appreciation. Venue, vendors, invitations, RSVPs, logistics, and follow-through.
  • Marketing and tradeshow support. Working alongside our Chief Growth Officer on our event and marketing effort. Tradeshow booth logistics and specs, shipping and storage of event equipment, event content and collateral, printed materials and business cards, and Canva work for one-pagers and social posts. This is a real part of the role and a good place to grow if you enjoy it.
  • Meeting and systems support. Logistics for our weekly leadership and department meetings, tracking to-dos in Asana, and light user administration across our tools including Front, Fireflies, Asana, and SalesMSG. You will also handle the logistics side of onboarding and offboarding alongside our Director of People.
  • Document routing. Sending agreements for signature through DocuSign and Adobe, filing executed documents in SharePoint, and following up on outstanding signatures.

What success looks like

  • First 30 days. You understand how the CEO works and what he wants to see. You own the calendar and team travel, and you know who owns what across the company well enough to route things correctly.
  • 60 to 90 days. The CEO’s day runs without him managing it. Office and event logistics happen without prompting. You handle more than you escalate, and when you do escalate you bring a recommendation with it.

What we’re looking for

  • 2+ years in an assistant, coordinator, or operations support role
  • Strong organization, since several things will be moving at once as a matter of course
  • Good written communication, since you will draft on behalf of the CEO
  • Comfort learning software quickly; experience with Asana, Front, Canva, or similar is a plus
  • Willingness to follow up with people, including people senior to you, when a deadline is at risk
  • Discretion with confidential information including compensation, personnel matters, and financial data
  • Based in Austin and able to work on-site near Lake Travis
  • Helpful but not required: event or tradeshow coordination, marketing or content experience, project management tools, or experience at a small and fast-growing company.

What we offer

  • 100% employer-paid health insurance for employees (HDHP plan)
  • HSA with employer contribution
  • Voluntary dental, vision, life, and AD&D coverage
  • Unlimited time off after 90 days
  • 11 paid company holidays
  • Direct exposure to the CEO and leadership team at a growing company
