We are seeking a professional and organized Legal Assistant to join our team. The Legal Assistant will be responsible for providing administrative support, managing client communications, scheduling appointments, and handling various tasks related to case management. The ideal candidate will possess excellent communication skills, attention to detail, and the ability to maintain confidentiality.

Description

Responsibilities:


Reception:

  • Serve as the first point of contact for clients and visitors, both in person and over the phone.
  • Greet clients warmly and direct them to the appropriate personnel.
  • Manage incoming calls and inquiries, providing information or redirecting calls as necessary.


Appointment Scheduling:

  • Coordinate and schedule client meetings and calls for existing cases.
  • Arrange intake calls with the Client Coordinator for potential new clients.


Document Management:

  • Receive incoming correspondence, court documents, and other materials.
  • Sort, scan, and upload documents to the appropriate client files in our document management system.
  • Ensure all documents are properly filed and organized for easy retrieval.


Correspondence Handling:

  • Prepare and send hard copy correspondence to clients, courts, and other parties.
  • Manage mail services as needed.
  • Maintain accurate records of outgoing correspondence and mailings.


Professionalism and Image:

  • Maintain a professional and courteous demeanor in all interactions with clients, colleagues, and visitors.
  • Uphold the firm's standards for professionalism and confidentiality.
  • Present a polished and professional image consistent with the firm's brand.


Sales Support:

  • Utilize strong communication skills and professionalism to enhance client interactions.
  • Assist in promoting the firm's services and maintaining positive client relationships.
  • Previous sales experience is a plus, but not required.


Qualifications:

  • Prior experience in a legal office or similar administrative role is preferred.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and document management systems. MUST BE TECH SAVVY. 
  • Excellent communication skills, both written and verbal.
  • Strong organizational skills and attention to detail.
  • Ability to multitask and prioritize tasks effectively in a fast-paced environment.
  • Discretion and ability to handle confidential information with sensitivity.
