Position Overview
Focus Practice Management is seeking an experienced Accounting & Financial Operations Manager to oversee accounting operations for multiple affiliated entities while ensuring accurate financial reporting, strong internal controls, and efficient business processes.
This hands-on leadership role combines accounting management, financial reporting, payroll oversight, and operational support. Working closely with the CFO and senior leadership team, you will play a key role in maintaining financial accuracy, improving workflows, supporting strategic initiatives, and helping the organization scale for future growth.
The ideal candidate is detail-oriented, highly organized, and enjoys taking ownership of accounting processes, solving problems, and improving systems.
Key Responsibilities
Accounting & Financial Operations
- Oversee day-to-day accounting operations for multiple affiliated entities
- Maintain financial records utilizing QuickBooks Online and related systems
- Perform and review bank reconciliations and balance sheet reconciliations
- Manage accounts payable, vendor payments, expense tracking, and account coding
- Monitor accounts receivable activity and assist with collections
- Review and reconcile credit card activity
- Maintain general ledger accuracy and supporting documentation
- Prepare monthly financial statements and management reports
- Assist with budgeting, forecasting, and financial analysis
- Track intercompany transactions and allocations
- Coordinate annual audits and support external accountants and advisors
- Support trust accounting, billing, and professional services accounting functions as needed
- Identify and implement process improvements to increase efficiency and strengthen controls
Financial Leadership & Strategic Support
- Partner with the CFO and leadership team on financial reporting and operational initiatives
- Assist with developing and maintaining accounting policies and procedures
- Provide financial analysis to support business decisions
- Participate in planning, technology enhancements, and process improvement projects
- Help develop scalable accounting processes to support growth
- Assist with training and cross-training efforts to ensure continuity of key functions
Payroll Oversight
- Review payroll reports, journal entries, tax filings, and reconciliations for accuracy
- Serve as backup payroll processor using Gusto and related systems when needed
- Assist with retirement plan contributions, HSA administration, payroll audits, and compliance requirements
- Coordinate with payroll providers, benefit vendors, accountants, and tax professionals
- Support annual reporting requirements and insurance audits
Administrative Support & Continuity
- Provide backup support for onboarding, payroll administration, and benefits-related processes
- Collaborate with team members to maintain accurate employee and payroll records
- Assist with open enrollment and compliance documentation
- Provide administrative coverage during absences and peak workload periods
- Support special projects requiring collaboration across accounting, payroll, and operations
Required Qualifications
- Associate's or Bachelor's degree in Accounting, Finance, Business Administration, or a related field, or equivalent experience
- 5+ years of accounting, bookkeeping, or financial operations experience
- Strong proficiency with QuickBooks Online
- Experience managing multiple entities or complex accounting environments
- Working knowledge of payroll processes and payroll accounting
- Strong understanding of financial statements, reconciliations, internal controls, and financial reporting
- Advanced proficiency with Microsoft Excel
- Excellent organizational, analytical, and problem-solving skills
- Strong written and verbal communication abilities
- Ability to maintain confidentiality regarding financial and personnel information
Preferred Qualifications
- Experience in a law firm, healthcare organization, professional services firm, or practice management environment
- Experience with Gusto payroll or comparable payroll systems
- Familiarity with law firm accounting, trust accounting, or professional services billing
- Experience coordinating audits and tax reporting processes
- Knowledge of New York payroll and employment compliance requirements
- Experience implementing accounting technology and workflow improvements
- CPA, CMA, or other accounting certification is a plus
Compensation & Benefits
Salary Range: $65,000-$75,000 annually, depending on experience and qualifications
