We're looking for a Procurement & Logistics Coordinator to join our fast-growing hardware startup. In this role, you'll own the day-to-day flow of parts, materials, and supplier communication that keep our builds on track. You'll manage RFQs, purchase orders, and vendor coordination — ensuring that our supply chain runs smoothly as we transition into volume production. Description

Responsibilities


Procurement & RFQs

  • Issue and track RFQs across mechanical, electrical, packaging, and finished-goods components.
  • Consolidate supplier quotes into comparison summaries with pricing, lead times, and MOQs.


Purchase Order Management

  • Draft, issue, and track POs across all part categories (CNC, MIM, injection molding, PCBs, batteries, packaging, and others).
  • Ensure every part required for each build is quoted, ordered, and actively tracked against the production schedule.
  • Maintain accurate purchasing data, part metadata, and order status in Odoo.


Supplier Communication

  • Serve as the day-to-day point of contact with suppliers on lead times, order status, and operational issues.
  • Maintain professional working relationships with day-to-day supplier contacts.
  • Provide weekly procurement and logistics status updates; escalate strategic, contractual, or critical issues to the Director of Production.


Logistics & Shipping

  • Monitor inbound shipments and handle supporting documentation (customs paperwork, commercial invoices, packing slips).
  • Coordinate with freight partners (DHL, Flexport, Expeditors, OEC Group) on routing and expedites.
  • Resolve shipping exceptions, delays, and carrier disputes proactively.


Continuous Improvement

  • As time permits maintain and improve internal documentation, supplier onboarding workflows, and ERP hygiene.


Qualifications


Required

  • 1–3 years of experience in procurement, logistics, operations, manufacturing support, or supply chain coordination. Internships, co-op work, and hands-on operational experience count toward this band.
  • Strong organizational skills and attention to detail. Comfortable working with structured workflows, complex part lists, and supplier records where small errors compound into build delays.
  • Able to manage multiple open tasks, purchase orders, and supplier communications simultaneously without losing track of details across 40+ open POs at any given time.
  • Strong written and verbal communication skills, with the ability to maintain clear, professional, and consistent correspondence with suppliers and internal stakeholders.
  • Proficiency with Excel or Google Sheets, including comfort with formulas, tables, and basic data manipulation for quote comparisons and tracking.
  • Able to operate effectively in a fast-paced startup environment with shifting priorities, ambiguous problems, and limited supervision.
  • Proactive, dependable, and willing to take ownership of day-to-day operational execution — including identifying issues before they become problems and following up without being prompted.
  • Strong follow-through and a genuine willingness to learn procurement, supplier management, and manufacturing operations as the role and company grow.


Preferred

  • Bachelor's degree in Supply Chain, Operations, Business, Engineering, or related field. Hands-on operational experience may substitute for formal education.
  • Experience with ERP systems — Odoo strongly preferred. SAP, NetSuite, or other ERP experience is acceptable with willingness to ramp on Odoo quickly.
  • Familiarity with manufacturing, hardware, or physical-product environments — exposure to BOMs, build schedules, contract manufacturer coordination, or production-floor workflows.
  • Exposure to international shipping, freight coordination, or customs documentation — including familiarity with commercial invoices, packing slips, HTS codes, or Incoterms.
  • Experience working alongside engineering teams on component sourcing, supplier qualification, or first-article approval workflows.
  • Exposure to procurement KPIs (on-time delivery, supplier PPM, cost variance) or interest in developing supplier scorecards and operational reporting.

Salary

$62,000 - $72,000 per year
