The Coordinator will work closely with the Engagement and Operations Teams to manage the moving pieces that make events successful, including event details, timelines, vendors, registration, speaker and attendee communication, branded materials, room setup, and day-of execution. Position Responsibilities

·       Event Execution: Coordinate end-to-end event planning from concept through execution and follow-up. In collaboration with Engagement Team members, this position will coordinate and execute event theme development, promotion, registration management, program flow, and run-of-show documentation. 

·       Logistics & Vendor Coordination: Secure venues, vendors, and equipment while adhering to budget. Coordinate technical needs including AV, staging décor and presentations. 

·       Day-Of Execution: Coordinate team roles, lead rehearsals, and ensure smooth on-site execution including layout, wayfinding, seating charts. 

·       Sponsorship Fulfillment: Distribute event materials, sponsorship packages, and branded materials, and generate potential sponsor opportunities. 

·       Attendee Experience: Track registrations, communicate event logistics with registrants and speakers, coordinate seating and name badge production.

·       Learning Lab Coordination: Respond to inquiries and generate bookings, coordinate internal approvals, support site visits, promote and secure facility rentals. Set up room and serve as the onsite point of contact for Learning Lab rental clients.

·       Internal Meeting Support: Serve as a point of contact for internal VIP meetings hosted by Lakeshore Advantage, including documenting and executing room setup, food and beverage plan, and A/V needs.


Qualifications & Experience

·       Bachelor’s degree in event management, marketing, communications, hospitality, or  related field, or 3+ years equivalent experience preferred

·       Demonstrated success coordinating professional events, meetings, or experiences from planning through completion

·       Proven ability to manage multiple projects with strong attention to detail, timelines, and follow-through

·       Strong organizational, project planning, and time management skills

·       Excellent written, verbal, and interpersonal communication skills

·       Comfortable coordinating vendors, venues, speakers, sponsors, attendees, and internal team members

·       Creative and detail-oriented, with an eye for attendee experience, branded materials, and polished event execution

·       Ability to troubleshoot, adapt quickly, and remain professional during event execution

·       Knowledge of the West Michigan business landscape

·       Proficiency with CRM systems, particularly Zoho

·       Experience with Eventbrite or similar registration platforms

·       Comfortable learning new technology and systems

·       Experience with email marketing platforms

·       Proficiency with Microsoft Suite and Mac-based operating systems

Hours & Location

Full-time, 40 hours per week

In-person, Holland, MI

Some weekday early mornings or evenings may be required.
