Description

Kwikly is looking for an Finance & HR Assistant / Office Manager to support the Human Resources, Finance, and Office Management in our rapidly growing Coon Rapids office. This is a part-time hybrid position, 24 hours/week, with 2 full days in-office on Tuesdays and Wednesdays.


You will be responsible for many facets of bookkeeping, as well as administration that enables a great employee experience. You’ll handle a variety of the processes that make a company tick, from record keeping and financial tracking, HR Administration and employee relations, and regular and ad-hoc reporting for our Executive team. Your desk work will be offset by getting around the office to keep it running and ensuring that our fun team of colleagues enjoy a comfortable environment and have functioning equipment and all the supplies they need!


To be successful in this role, you should have a great knack for numbers combined with  excellent organization and time management skills. Your attention to detail enables you to deliver quality work in a timely manner to handle the routine and ad-hoc events. You’ll enjoy the variety of work and the learning that comes with it.



WHAT YOU WILL DO

Expenses and invoice management

  • Process incoming invoices and prepare payment schedule of invoices due
  • Correspond with vendors as needed to clarify issues
  • Process Expense reports and reimbursements
  • Prepare journal entries for accounts payable and account receivable
  • Maintain periodic budget tracking


Payroll & Benefits Administration

  • Run regular payrolls, ensuring accurate entries and payouts 
  • Regular reporting on salaries, monitoring entries in the finance system
  • Administer MBO and Commissions plans 
  • Assist with Benefits plan administration: Insurances and 401k
  • Monitor State and Federal Agency payments and relationships


Department administrative management

  • Assist in developing and maintaining department dashboards
  • Maintain calendar of HR and Finance tasks 
  • Maintain updated files and templates for HR, personnel, and Finance topics 
  • Assist with projects and special assignments 


Employee relations

  • Support with recruiting through onboarding of our dental Professionals and Office Administrative staff
  • Support with other regular and event-triggered people processes


Office Administration / Office Management

  • Computer / equipment distribution & retrieval management
  • Office vendors management, building liaison
  • Manage office assets and maintain good working order of facilities and supplies
  • Execute events coordination, team lunches, All Company meetings

REQUIRED SKILLS & EXPERIENCE


  • Office Administration, Finance, HR roles and related experience
  • Excellent analytical skills, and data-centered problem solving
  • Ability to work independently and autonomously 
  • Ability to meet deadlines and coordinate work with others
  • Communicate clearly with team to further our business goals 
  • Proactivity to keep current with tasks
  • Able to create and continuously improve practices and systems
  • Maintain the confidentiality of privileged information
  • Solid Google Suite abilities including spreadsheets, Google Drive



Preferred Qualifications / Experience

  • ADP Workforce Now
  • Quickbooks Online
  • Bookkeeping knowledge
  • US Labor law knowledge
  • Tech savviness and use of efficient web-based tools
