Job Overview:


We are seeking an experienced Executive Assistant to provide comprehensive support to the CEO in managing administrative tasks, facilitating communication with customers and partners, and ensuring smooth operations in a fast-paced startup environment.


The ideal candidate will possess exceptional organizational skills, strong communication abilities, a proactive mindset to anticipate the needs of the CEO and the organization, and the willingness to learn and expand into marketing function support.


Responsibilities:


1. Executive Support:

  - Manage CEO's calendar, scheduling appointments, meetings, and travel arrangements efficiently.

  - Prioritize and coordinate daily tasks, ensuring timely completion and follow-up on action items.

  - Prepare and edit correspondence, presentations, and reports for internal and external communication.

  - Prepare and publish meeting notes proactively and manage timely follow-ups


2. Customer and Partner Relations:

  - Coordinate meetings, conferences, and events with customers and partners, ensuring seamless execution and satisfaction.

  - Provide timely responses and exceptional service to customers, partners, and sales leads

  - Maintain positive relationships with clients and partners, facilitating communication and addressing concerns effectively.


3. Administrative Functions:

  - Handle administrative tasks such as filing expense reports and document organization with meticulous attention to detail.

  - Assist in the preparation of documents, agendas, and materials for board meetings, investor presentations, and other key events.

  - Manage confidential information with discretion and integrity, maintaining a high level of professionalism at all times.


4. Team Collaboration:

  - Liaise with internal teams to coordinate cross-functional initiatives and projects, ensuring alignment with company goals and priorities.

  - Serve as a liaison between the CEO and other team members, facilitating communication and fostering a collaborative work environment.

  - Provide administrative support to other executives and team members as needed, contributing to the overall success of the organization.

  - Meet with global team members to help prepare sales and marketing collateral and run campaigns

  - Facilitate Trade Show and Event Planning and Booking


Qualifications:


- Bachelor's degree preferred.

- 3-10 years of experience as an Executive Assistant or similar role, preferably in a startup or fast-paced environment.

- Proficiency in Microsoft Office Suite and other productivity tools.

- Excellent communication skills, both written and verbal, with the ability to interact effectively with diverse stakeholders.

- Strong organizational abilities, with the capacity to manage multiple tasks and priorities simultaneously.

- Proactive mindset with the ability to anticipate needs and take initiative to address them.

- Discretion and confidentiality in handling sensitive information.

- Flexibility to adapt to changing priorities and work well under pressure.

Salary
