Responsibilities:
Customer Service:
- Greet customers promptly and professionally, understanding their needs and concerns related to their heavy-duty trucks.
- Serve as the liaison between customers and the service department, maintaining clear and consistent communication throughout the repair process.
- Provide customers with accurate repair estimates, including labor and parts costs, and obtain approval before proceeding with any work.
- Keep customers informed about the status of their vehicles and any changes in repair costs or completion times.
Work Order Management:
- Prepare detailed work orders based on customer requests and technician diagnostics, ensuring all necessary information is documented.
- Review completed work orders for accuracy, ensuring all services performed are properly documented and billed.
- Ensure that all necessary parts are ordered and available for repairs, coordinating with the parts department as needed.
Scheduling and Coordination:
- Coordinate with the service team to ensure repairs are completed on time and according to customer expectations.
- Monitor work progress and follow up on any delays, proactively communicating with customers about changes.
Quality Assurance:
- Review final repairs with technicians to ensure all work meets company standards and customer expectations.
- Conduct post-service follow-ups with customers to ensure satisfaction and address any concerns.
- Maintain a high level of accuracy in all paperwork, ensuring compliance with company policies and industry regulations.
Sales and Upselling:
- Identify additional service opportunities based on vehicle inspections and customer history, recommending preventive maintenance or necessary repairs.
- Educate customers about the benefits of additional services and products, driving sales and enhancing customer satisfaction.
Administrative Tasks:
- Maintain organized records of all customer interactions, work orders, estimates, and invoices.
- Process customer payments and ensure that all financial transactions are handled accurately and securely.
- Assist in managing shop inventory by tracking parts usage and reordering as necessary.
Qualifications:
- High school diploma or equivalent; vocational training in automotive or diesel technology is a plus.
- Proven experience as a Service Writer, preferably in a heavy-duty truck repair environment.
- Strong knowledge of heavy-duty trucks and related repair and maintenance procedures.
- Excellent customer service and communication skills, with the ability to explain complex technical issues in a way that is understandable to customers.
- Proficiency in using service management software and tools.
- Strong organizational skills and attention to detail.
- Ability to work in a fast-paced environment, managing multiple tasks and priorities effectively.
- Sales experience or a strong aptitude for upselling is beneficial.
- Ability to work effectively as part of a team and maintain positive working relationships with colleagues and customers.
