The Administrative Assistant will support the day-to-day administrative operations of the company. The candidate will work closely with the HR and Admin department, taking on core administrative tasks such as payroll and benefits support, invoicing/billing assistance, and office management.

Description

Key Duties and Responsibilities

• Provide administrative support to the office staff and management team

• Assist with reviewing timesheet and expenses data for payroll processing

• Help maintain employee records related to benefits enrollment, changes, and terminations

• Assist with preparing, sending, and tracking client and vendor invoices

• Help monitor accounts receivable/payable status and flag overdue items

• Support subcontract billing and purchase order tracking as needed

• Assist in event planning and coordination

• Maintain an up-to-date inventory of office supplies and proactively flag items running low

• Place and track orders for office supplies and equipment

• Serve as a point of contact for facilities issues, deliveries, and vendor visits

• Support general office upkeep and organization

• Assist with onboarding and offboarding logistics (paperwork, equipment, access)

• Help maintain accurate employee files in compliance with recordkeeping requirements

• Assist with filing, data entry, and document organization across HR and operations

• Any other administrative responsibilities as assigned


Qualifications and Requirements

• Associate or bachelor’s degree preferred, or equivalent practical experience

• Proven experience as an administrative assistant or in a similar role

• Familiarity with payroll and/or benefits administration basics is a plus.

• Working proficiency with Microsoft Suite products (Outlook, Word, Excel, Teams etc)

• Must be comfortable learning and using new tools and software(s) (e.g., Monday.com,

Adobe, Canva etc)

• Strong organizational skills and attention to detail

• Clear, professional written and verbal communication

• Ability to handle sensitive/confidential information with discretion

• Comfortable managing multiple small tasks and priorities in a fast-paced, small-office environment

• Reliable, self-motivated, and eager to grow into broader administrative responsibilities over time

• Ability to work independently as well as part of a team

Salary

$50,000 - $60,000 per year
