KARMAI Consulting LLC is seeking an experienced U.S. Government Proposal Writer to join our team on a contract basis. This role is essential for driving the success of our government contracting efforts by developing compelling, compliant, and competitive proposals. The Proposal Writer will collaborate closely with our business development and technical teams to effectively communicate KARMAI’s capabilities, solutions, and value propositions in response to Requests for Proposals (RFPs), Requests for Quotes (RFQs), and Requests for Information (RFIs) from U.S. government agencies.
Roles and Responsibilities:
1. Proposal Development:
- Lead Proposal Writing: Manage the proposal writing process from concept to submission, ensuring that all content is accurate, compliant, and tailored to each solicitation.
- Content Creation: Write persuasive content that clearly articulates KARMAI Consulting’s value proposition, technical approach, management plan, and past performance.
- Compliance: Ensure all proposals meet the requirements outlined in the RFP/RFQ/RFI, including formatting, structure, and content compliance.
- Customization: Customize proposals to address the specific needs and evaluation criteria of each government client, ensuring relevance and persuasiveness.
- Collaboration: Work closely with subject matter experts, business development leads, and technical teams to gather and incorporate necessary technical and managerial information.
2. Proposal Strategy and Planning:
- Proposal Planning: Develop and manage proposal schedules, outlines, and compliance matrices to ensure timely delivery of high-quality proposals.
- Kickoff Meetings: Participate in or lead proposal kickoff meetings to establish proposal strategies, responsibilities, and timelines.
- Proposal Reviews: Coordinate and participate in proposal reviews, including color team reviews (e.g., pink, red, gold) to ensure alignment with strategy and compliance.
- Storyboarding: Utilize storyboards to plan proposal sections, ensuring a cohesive narrative that aligns with KARMAI Consulting’s strategic goals.
3. Research and Analysis:
- Market Research: Conduct research on government agencies, competitors, and industry trends to inform proposal strategies and content development.
- Competitive Analysis: Analyze the competitive landscape and past proposals to identify strengths, weaknesses, and differentiators for KARMAI Consulting’s proposals.
4. Continuous Improvement:
- Templates and Tools: Develop and maintain proposal templates, boilerplate content, and other proposal development tools to improve efficiency and consistency.
- Lessons Learned: Capture and document lessons learned from past proposals to continuously improve the proposal development process.
- Training and Development: Stay current on government contracting trends, proposal best practices, and relevant regulations (e.g., FAR, DFARS) to ensure KARMAI’s proposals remain competitive and compliant.
Expectations:
- Attention to Detail: Ensure that all proposals are free of errors and omissions, with meticulous attention to detail in both content and formatting.
- Timeliness: Meet all proposal deadlines, managing multiple projects simultaneously and ensuring timely submission.
- Adaptability: Be flexible and adaptable to changes in proposal requirements, timelines, and priorities.
- Communication: Maintain clear and proactive communication with all stakeholders throughout the proposal development process.
- Confidentiality: Handle sensitive information with discretion and maintain the confidentiality of all proposal content and company information.
Qualifications:
- Education: Bachelor’s degree in English, Communications, Business, or a related field. A Master’s degree is a plus.
- Experience: At least 3-5 years of experience in proposal writing, preferably in the government contracting space.
- Skills:
- Excellent writing, editing, and proofreading skills.
- Strong understanding of U.S. government procurement processes and regulations.
- Ability to work under pressure and manage tight deadlines.
- Proficiency with Microsoft Office Suite and proposal management tools (e.g., SharePoint, Adobe Acrobat).
- Experience with proposal automation software is a plus.
Compensation:
- Contract Terms: This is a contract position with the potential for renewal based on performance and business needs.
- Payment Structure: Compensation will be provided on a per-project basis, with rates negotiated based on the complexity and scope of each proposal.
- Incentive Bonus: Performance-based bonuses may be available for proposals that successfully lead to awarded contracts.
- Flexible Hours: The position offers flexibility in hours, allowing the contractor to manage their schedule effectively while meeting deadlines.
