The Practice Manager at Just 4 Kids Pediatric Dentistry provides strategic and operational leadership to ensure the smooth functioning, financial health, and outstanding service delivery of the practice. This role oversees administrative, clinical, and financial operations while supporting staff development, ensuring compliance, and promoting growth through marketing and systems optimization. The Practice Manager works closely with the Assistant Office Manager/Billing Coordinator and partners directly with the Owner/Doctor to implement the vision and long-term goals of the practice.

Key Responsibilities:

Strategic & Operational Leadership


  • Work closely with the Owner/Doctor to achieve the vision and goals of the practice, aligning daily operations with long-term strategic plans.
  • Oversee all departments (front office, clinical, billing) to ensure consistent execution of high standards and workflows.
  • Maintain full compliance with HIPAA, OSHA, Medicaid regulations, and other governing entities.
  • Identify and implement systems and technologies that improve operational efficiency.

Financial Oversight


  • Monitor production, collections, and expenses to ensure fiscal health of the practice.
  • Collaborate closely with the Assistant Office Manager/Billing Coordinator to manage insurance claims, patient billing, and collections.
  • Analyze and report on financial performance, accounts receivable, and key performance indicators.
  • Approve budgets, manage vendor contracts, and control overhead costs.

Staff Management & Performance Evaluations


  • Recruit, hire, onboard, and manage both clinical and administrative team members.
  • Coordinate schedules, time-off requests, and staffing levels to meet production goals.
  • Conduct quarterly, semi-annual, and annual performance evaluations for all employees.
  • Foster a high-performance team culture through training, accountability, and recognition.

Patient Experience & Quality Assurance


  • Ensure patients and families receive exceptional care and customer service at every visit.
  • Address escalated concerns or complaints in a professional and timely manner.
  • Monitor satisfaction data and reviews to identify and address service improvement areas.

Marketing & Practice Growth


  • Lead the planning, implementation, and evaluation of internal and external marketing strategies.
  • Oversee new patient acquisition efforts, referral campaigns, and school/community outreach.
  • Manage the practice’s digital reputation through review solicitation and social media content.
  • Track marketing performance metrics and adjust strategies to meet growth objectives.


Qualifications:


  • 3–5 years of dental or medical office management experience (required).
  • Proven leadership in managing clinical and administrative teams.
  • Proficient in Dentrix, Dental Intelligence, and insurance billing systems (required).
  • Strong understanding of Medicaid, PPO, and fee-for-service models.
  • Demonstrated experience conducting structured staff performance evaluations.
  • Excellent interpersonal, organizational, and problem-solving skills.
  • Bachelor’s degree in healthcare administration, business, or related field (preferred).
  • Bilingual in English and Spanish is a plus.


Salary

$72,000 - $75,000 per year
