Job Title: Orthodontic Coordinator
Reports To: Office Manager and Orthodontist
Location: Just 4 Kids Pediatric Dentistry – Richmond, VA

Position Summary:
The Orthodontic Coordinator is responsible for the seamless management of the orthodontic schedule, patient engagement, and support of treatment compliance. The role includes patient education, administrative oversight, and collaboration on social media and marketing initiatives to promote the Just 4 Kids Dentistry brand. A strong emphasis is placed on educating families, ensuring timely documentation, and fostering community presence through events and outreach.
Key Responsibilities:
Patient & Family Engagement
- Educate parents/guardians and patients on oral hygiene, appliance care, and treatment compliance using Dolphin Aquarium or other video-based educational tools.
- Address non-compliance with care or appointments through direct communication and follow-up.
- Ensure a welcoming, organized, and supportive environment for all patients and families.
Treatment Coordination
- Schedule and confirm orthodontic consultations and follow-up appointments efficiently.
- Monitor and support patients’ adherence to their treatment plans in collaboration with the orthodontist.
- Serve as the point of contact for treatment-related questions and progress updates.
Administrative Duties
- Ensure all orthodontic progress notes are completed and documented in Dolphin by the end of each business day.
- Accurately maintain records, forms, and consents related to orthodontic care.
- Design, plan, and implement in-office orthodontic events that engage patients and promote the practice.
- Coordinate with the Office Manager and orthodontic team on schedules, records, and operational efficiency.
- Participate in external marketing events hosted by or affiliated with Just 4 Kids Pediatric Dentistry to support community outreach and brand awareness.
Marketing & Social Media
- Assist in creating and sharing content related to orthodontic services for the practice’s social media platforms.
- Collaborate with the marketing team and website designer to maintain brand consistency.
- Capture patient stories (with consent) for promotional use online and in-office.
Skills & Qualifications:
- Minimum 2 years of experience in an orthodontic or pediatric dental office setting.
- Proficiency in Dolphin Management/Imaging software; Dentrix experience is a plus.
- Strong interpersonal and communication skills.
- Organized, self-motivated, and capable of managing multiple responsibilities.
- Comfortable using educational media and participating in marketing initiatives.
Preferred Qualifications:
- Spanish-speaking skills preferred but not required.
- Prior experience coordinating events or social media content creation.
