Job Title: Assistant Office Manager

Location: Just 4 Kids Pediatric Dentistry – 9704 Midlothian Turnpike, North Chesterfield Va..

Reports To: Office Manager / Practice Owner

Employment Type: Full-Time

Key Responsibilities:

Billing & Collections (Primary Focus)

• Manage billing operations including insurance claims, patient billing, and payment collections.
• Track and follow up on outstanding accounts and denied claims.
• Maintain Medicaid, PPO, and fee-for-service billing compliance.
• Collaborate with clinical staff to ensure timely and accurate collections.
• Provide clear financial communication and payment options to patients and guardians.

Front Office & Administrative Operations

• Supervise front desk operations, including scheduling, check-in/check-out, and insurance verification.
• Train and support front office staff on Dentrix, Dolphin and office protocols.
• Ensure HIPAA compliance and high levels of patient satisfaction through excellent service.

 

 

Marketing & Growth Initiatives

• Participate in the planning, implementation, and assessment of internal and external marketing strategies.
• Support new patient acquisition efforts through referral programs, digital outreach, and community events.
• Monitor and improve the practice’s online presence and reputation (e.g., Google reviews).
• Assist in recall and reactivation campaigns to maintain patient retention.

Leadership & Support

• Serve as acting front office lead when the Office Manager is unavailable.
• Assist in the hiring, onboarding, and training of front office staff.
• Promote a team-oriented culture focused on efficiency, professionalism, and family-centered care.

Qualifications:

• 2+ years of dental front office experience with emphasis on billing and collections (required).
• Proficiency with Dentrix software (required).
• Knowledge of Medicaid, PPO, and fee-for-service billing (required).
• Strong communication and leadership skills.
• Bilingual in English and Spanish is a plus.
• Experience in marketing or outreach coordination (preferred).
• Passion for working with children and families in a pediatric dental environment.
