We seek a collaborative and detail-oriented Pre Sale Administrator to continue operating at our high standards. This role will be responsible for providing excellent client service, serving as the point of contact for all pre-sale inquiries for both consignors and potential buyers while working hand-in-hand and supporting the cataloging and specialist teams. This role is ideal for a candidate who thrives in a fast-paced environment and enjoys multi-tasking and organizational tasks while coordinating all key processes leading up to the sales.  


RESPONSIBILITIES 

  • Act as the main point of contact for all pre-sale processes for consignors and potential buyers, address client inquiries, resolve client issues, and deliver outstanding client service. 
  • Collaborate with and support cataloging and specialist teams to meet property, cataloging, and photography deadlines. 
  • Manage consignment agreements; generate and send agreements, track receipt, and follow up with clients as needed to ensure all agreements are on file and fully executed prior to the sale going live. 
  • Ensure all consignor payment instructions are received and submitted to the Accounting team prior to the sale closing. 
  • Create client consignments in the inventory system, add items to client’s consignments, generate item IDs and barcodes, and work with Operations to ensure items are received and tagged accurately. 
  • Liaise with clients to facilitate inbound shipments, ensure both Operations and Cataloguing teams are alerted to property arrival dates and aware of any changes, and confirm property receipt with consignors. 
  • Coordinate logistics for client visits; including pre-printing inventory tags, arranging on-site packing and pick-up, and working with Operations to receive and process incoming property. 
  • Collaborate with Operations team members to coordinate the movement of property internally and externally for third-party services, photography, exhibitions, and events. 
  • Provide general technical sale support; create sales, push allocated sale items from inventory to the internal sale system, set sales live, and provide clerking support for live sales.  
  • Send daily/weekly reports to each Head of Sale for property received, cataloging, and photography statuses per sale. 
  • Liaise with Post-Sale to manage consignor expectations regarding late payments and work closely with Post-Sale to process the return or reoffer of unsold property. 
  • Coordinate the return of withdrawn, rejected, or canceled lots to consignors. 


REQUIREMENTS 

  • Previous experience in a client-facing role, preferably within an auction house, gallery, or museum setting 
  • Ability to handle sensitive date and client information with discretion while maintaining confidentiality
  • Exceptional attention to detail and highly organized, with the ability to manage follow-ups and resolve outstanding items effectively
  • Strong problem-solving skills and good judgment when navigating complex issues
  • Excellent verbal and written communication skills


PAY & SCHEDULE

  • Compensation: $27-$31 hourly (~$55,000-$65,000 annually)
  • Schedule: 40 hours/week
  • This is a full-time, in-person position
  • Bonus eligible
