To continue operating at our high standards, we are seeking a collaborative and detail-oriented Post Sale Administrator. This role will be responsible for providing excellent client service, serving as the point of contact for all post-sale inquiries for both buyers and consignors. This role requires strong communication and writing skills, excellent organizational abilities, and the capacity to manage multiple priorities efficiently and effectively.
CLIENT COMMUNICATION
- Act as the main point of contact for all post-sale inquiries from buyers and consignors, delivering outstanding client service
- Collaborate with the Accounting, Shipping and Operations teams to facilitate invoicing and shipping quotes for buyers post-sale
- Partner with the Head of Sale and Specialist teams to coordinate the return or reoffer of unsold or cancelled property
- Facilitate the post-sale offers and ensure effective communication regarding payment statuses for sold property with consignors
- Arrange local pick-up of sold property, meeting with clients and overseeing the collection process from our Los Angeles office
PROJECT MANAGEMENT
- Ensure all release paperwork is completed, and the necessary documentation is provided by clients/shippers
- Collaborate with the Accounting and Operations teams to identify abandoned property, draft abandonment letters, apply storage fees, and coordinate pick-up or shipping for clients with abandoned property
- Oversee the closure of each auction, ensuring sold property is fulfilled and unsold property is returned or reallocated for future sales
- Work closely with the Inventory Specialist to keep the inventory system updated and accurate regarding released or reoffered property
REQUIERMENTS
- Previous experience in a client-facing role; preferably within an auction house, gallery, or museum setting
- Exceptional attention to detail and highly organized, with the ability to manage follow-ups and resolve outstanding items effectively
- Strong problem-solving skills and good judgement when navigating complex issues
- Excellent verbal and written communication skills

- Compensation: Base Salary ($55,000 - $65,000 based on experience) and Bonus eligible
