We are seeking a full-time Customer Service Representative/Office Assistant on-site at our Pasadena office. Your responsibilities will include communicating with new and existing customers, booking appointments, dispatching technicians on service calls, preparing and sending estimates, following up with leads, invoicing, coordinating with our vendors, basic bookkeeping, and other office work.


Duties and Responsibilities

  • Must be able to work in a fast-paced environment and multi-task while constantly interrupted by phone calls, emails, and competing priorities
  • Answer calls, texts, and emails from new and existing customers and book appointments with a high conversion rate
  • Gain an understanding of the products and services that we offer
  • Qualify inbound leads and relay the information gathered to our technicians and salespeople to help drive performance
  • Gather basic information about customers' properties
  • Follow up with leads after an estimate is sent and with customers after a job is completed
  • Prepare and send estimates and invoices to customers
  • Schedule and dispatch technicians on service calls and estimators for site visits
  • Coordinate projects with all stakeholders including customers, tenants, vendors, insurance companies, and city/county permitting offices
  • Coordinate with subcontractors for crane service or other work related to an installation
  • Assist with collecting customer payments
  • Perform basic bookkeeping tasks by entering data into our accounting system and handling AR/AP tasks including processing vendor bills, paying vendors, and entering customer payments
  • Maintain our social media presence on platforms like Yelp and Google My Business by periodically posting content and responding to reviews
  • Must be detail-oriented, able to follow instructions, ensure accurate data entry, and proactively correct mistakes
  • Work well independently and without requiring follow-up to complete tasks


Required Qualifications

  • High school diploma (or equivalent) required; at least 2 years of college preferred
  • At least 2 years experience in a customer service, sales, or administrative role
  • Exceptional communication skills over phone, text, and email
  • Must be computer literate with accurate data entry skills, a fast typing speed, and ability to keep files organized
  • Experience working with accounting software, preferably QuickBooks
  • Proficient with the Microsoft suite of products including Microsoft Word and Excel
  • Ability to interpret satellite/aerial maps to gather information about customer properties
  • Able to pass a background check


Desired Qualifications

  • Experience in the home services or construction industries is a big plus
  • Experience with field service management software like Housecall Pro or ServiceTitan is a big plus
  • Experience with the Google suite of products including Gmail, Google Drive, and Google Calendar
  • Experience with marketing on social media platforms like Yelp, Google My Business, Facebook, Instagram, etc.
  • Experience with bookkeeping, accounts payable and accounts receivable
  • Experience with CRM and/or call center software

Salary

$20 - $23 per hour
