Job Overview:

We are seeking an experienced and dynamic Part-Time Executive Assistant to support our CEO and Sales Team. Work Hours: Monday through Friday 12PM - 5PM.

This role plays a crucial part in ensuring the smooth operation of our Lynchburg office and providing essential support to our leadership team.

Key Responsibilities:

  1. Manage CEO's Calendar: Efficiently organize and maintain the CEO's calendar, scheduling appointments and managing priorities.
  2. Office Management: Responsible for greeting visitors, accepting packages, and ensuring the office is closed no earlier than 5:00 PM daily.
  3. Email Management: Skillfully manage designated email inboxes, ensuring important communications are addressed promptly and efficiently.
  4. Company-Wide Announcements: Oversee the publication of company-wide announcements on our internal Teams/Sharepoint site to keep all team members informed.
  5. Meeting Support: Take comprehensive notes during meetings and ensure that action items are tracked and executed.
  6. Phone Operations: Answer incoming calls at the office, providing excellent customer service and representing the company professionally.
  7. Customer Service: Collaborate with the marketing/sales teams to distribute promotional materials that support key client contacts.
  8. Outreach Strategy: Contribute to the design and execution of outreach strategies to engage clients and support the growth of our business.
  9. HubSpot CRM: Become an expert in HubSpot CRM or be willing to learn and master it as it is essential for our operations.
  10. Manually update any contacts in 365 accounts that did not sync with HubSpot on a daily basis

Business Casual: Adhere to a business casual dress code in the office.


  • Exceptional written and verbal communication skills
  • Minimum typing speed of 50 words per minute
  • Strong organizational and time management skills
  • Extremely detail-oriented and consistent
  • Ability to work effectively in a part-time capacity
  • Eligibility to participate in the company's 401K with a company match after six months of service
  • Demonstrated ability to handle multiple tasks and responsibilities with a high level of professionalism
