Position Overview
The Administrative Assistant serves as the central point of contact for communication, enrollment, and record management within JAI Care Solutions. This role supports both the Elder Center and Learning Center by maintaining organized systems, managing correspondence, and assisting leadership with daily administrative operations. The ideal candidate is professional, dependable, and passionate about serving others in a faith-based, service-oriented environment.
Key Responsibilities
- Manage and process client and student enrollment, including forms, records, and compliance documentation.
- Maintain accurate and confidential files in accordance with organizational and state requirements.
- Serve as the primary liaison between parents, staff, and DFCS or other partnering agencies.
- Answer phones, greet visitors, and provide professional customer service to families and community members.
- Schedule appointments, meetings, and program activities as needed.
- Prepare reports, letters, and communications for the Program Director and leadership team.
- Track attendance, program participation, and compliance records for both centers.
- Support billing, timesheets, and administrative reporting processes.
- Assist with coordination of events, trainings, and special projects.
- Ensure the front office operates efficiently and reflects the organization’s values of excellence and care.
Requirements
- High school diploma or equivalent required; Associate’s degree or administrative certification preferred.
- Minimum of 2 years of administrative experience (preferably in education, healthcare, or social services).
- Strong organizational and record-keeping skills.
- Excellent written and verbal communication abilities.
- Proficient in Microsoft Office (Word, Excel, Outlook) or Google Workspace.
- Ability to handle confidential information with discretion.
- Professional, courteous, and dependable demeanor.
- Must pass background check and drug screening prior to employment.

Compensation
Hourly Rate: $17.00 – $22.00 per hour (based on experience and education)
Schedule: Monday – Friday, 8:00 AM – 4:30 PM (with flexibility as needed)
