Our practice focuses on VAWA, U visas, consular processing, naturalization, family petitions, waivers, probate court, and Special Immigrant Juvenile matters. We are seeking a proactive, bilingual (Spanish/English) Legal Administrative Assistant who is detail-oriented, organized, and has a heart and passion for helping our clients.

What We’re Looking For

The ideal candidate will be compassionate, culturally aware, and skilled in managing multiple tasks with efficiency and professionalism. This role is critical to our firm’s operations, ensuring that client files are organized, deadlines are met, and communication flows seamlessly.

Key Responsibilities


  • Client Intake & Support: Conduct in-person and virtual client intakes, guiding clients through form completion and evidence gathering.
  • File Preparation & Submissions: Prepare comprehensive legal packets, draft cover letters, and ensure accurate submission to USCIS and Probate Court.
  • Case Management: Maintain detailed case notes, update clients on case progress, and manage important deadlines.
  • Scheduling & Coordination: Organize consultations, follow-up appointments, and client-related appointments, optimizing the attorney’s calendar.
  • Administrative Support: Handle phone calls, WhatsApp messages, and mail distribution; manage both physical and digital filing systems, including scanning and organizing documents.
  • Billing Assistance: Support invoicing, track payments, and communicate with clients regarding outstanding balances.
  • Newsletter & Social Media: Help draft and send weekly immigration newsletters and assist in content management for social media.
  • Case Management System Maintenance: Update client records, track deadlines, and ensure all information is current and accurate.
  • Confidentiality & Compliance: Uphold all legal and ethical standards when handling sensitive client information.

Qualifications


  • Language Skills: Bilingual (Spanish/English) with excellent communication skills.
  • Tech Proficiency: Comfortable using Google Workspace (Gmail, Google Sheets, Google Docs), Adobe Acrobat, and WhatsApp; familiarity with MailChimp and social media platforms.
  • Experience: At least 1 year of experience in an administrative role, ideally in a legal or professional environment.
  • Attention to Detail: Strong proofreading skills, meticulous in document preparation and record-keeping.
  • Cultural Sensitivity: Ability to work effectively with clients from diverse backgrounds.
