We are seeking a Senior HR Generalist to manage the day-to-day execution of HR operations. This role is operational, detail-oriented, and compliance-focused, responsible for ensuring that HR processes run smoothly, accurately, and in alignment with applicable regulations. This position works primarily behind the scenes and serves as the owner of HR administration, payroll, benefits, and employee lifecycle processes.

About the Role

We're looking for an experienced HR Operations Generalist to own the day-to-day operations of Human Resources at Ivy City Co.


This is a hands-on, operational role for someone who enjoys creating order, keeping processes running smoothly, and ensuring nothing falls through the cracks. You'll serve as the primary owner of payroll administration, benefits, compliance, employee lifecycle processes, and HR operations - helping ensure our employees have a seamless experience while the business stays compliant and organized.


This is not a strategic HR Business Partner or people management role. Instead, it's ideal for someone who enjoys being the person behind the scenes who keeps everything moving. The right candidate is highly organized, proactive, self-sufficient, and takes pride in accuracy, consistency, and follow-through.


This position averages approximately 20 hours per week, with flexibility to increase to approximately 25 hours during payroll processing or seasonal hiring periods.


This is a remote position. Candidates may be located outside of Utah if they have experience independently managing multi-state HR compliance.

What You'll Own

Payroll & HR Administration

  • Own semi-monthly payroll processing, ensuring employees are paid accurately and on time
  • Process new hires, compensation changes, deductions, bonuses, and other payroll updates
  • Maintain payroll records and ensure accuracy across HR systems
  • Research and resolve payroll discrepancies
  • Maintain employee records and HR documentation in accordance with company policies and legal requirements
  • Maintain 401k and benefits reconciliations with payroll


Employee Lifecycle Administration

  • Coordinate new hire onboarding, including offer documentation, I-9 and E-Verify completion, benefits enrollment, orientation scheduling, and equipment coordination
  • Help establish a more consistent and automated onboarding process that creates a positive experience for new employees
  • Manage employee offboarding, including separation documentation, COBRA administration, unemployment claims, and required compliance activities
  • Ensure personnel files remain complete, organized, and audit-ready throughout the employee lifecycle


Benefits, Leave & Compliance

  • Serve as the primary point of contact for employee benefits questions and issue resolution
  • Administer health benefits, leave programs, and protected leaves, including FMLA, ADA, and parental leave
  • Coordinate annual Open Enrollment, including employee communications and enrollment support
  • Partner with the company's benefits broker on renewals and ongoing administration
  • Manage workers' compensation claims and unemployment claims
  • Complete annual ACA reporting, including Forms 1095 and related compliance requirements
  • Monitor changes in employment law and help ensure ongoing compliance across multiple states
  • Maintain HR policies, required notices, and compliance documentation


HR Operations

  • Keep HR processes organized, efficient, and well documented
  • Coordinate recurring HR administrative tasks, reminders, and required employee communications
  • Support employee engagement surveys through administration, reporting, and follow-up
  • Assist with seasonal hiring administration during peak business periods
  • Identify opportunities to improve HR processes, documentation, and overall operational efficiency
  • Project manage by collaborating with President, external law firm and other Ivy City Co team members, on various legal-related initiatives ensuring compliance and projects reach milestones and completion


Qualifications

  • 5+ years of experience in HR Operations or as an HR Generalist
  • Experience independently processing payroll from start to finish
  • Strong knowledge of federal and multi-state employment laws and regulations
  • Experience administering benefits, leave management, ADA accommodations, FMLA, COBRA, ACA, workers' compensation, and unemployment claims
  • Ability to work independently with minimal supervision while managing multiple priorities
  • Exceptional organizational skills and attention to detail
  • Strong written communication and documentation skills
  • Experience partnering with payroll providers, benefits brokers, and external HR vendors; Has familiarity with Gusto, QBO, When I Work, Employee Navigator & GBS Benefits
  • HR certification (PHR, SHRM-CP, SHRM-SCP, or SPHR) is a plus but not required
