Business Operations Analyst - Fully Remote
SUMMARY
The Business Operations Analyst plays a critical supporting role in the organization's sales and operational infrastructure. This position is responsible for the accurate and timely entry of customer, order, and transactional data into the company's Customer Relationship Management (CRM) system, maintaining the integrity and completeness of all sales records, and providing administrative support across order fulfillment, processing, and general business operations. This role is essential to the smooth execution of the sales cycle and the reliability of business data used for decision-making.
RESPONSIBILITIES
CRM Data Entry & Management (~40%)
• Enter customer, prospect, account, and sales activity data into the CRM system accurately and in a timely manner
• Review and audit CRM records on a regular basis to identify and correct incomplete, duplicate, or inaccurate data
• Standardize data entry formats and maintain consistency across records in accordance with company data governance policies
• Collaborate with sales team members to gather missing or updated information and ensure records reflect current account status
• Generate and distribute CRM-based reports to support sales management as requested
• Ensure quotes are generated in a timely, accurate, and complete way
• Ensure all information is correctly and completely documented in ConnectWise Manage, Connectwise Sell (CPQ), and One Note
Order Fulfillment & Processing (~35%)
• Receive, review, and process incoming sales orders via phone, email, or electronic order management systems
• Ensure vendor registrations are submitted and maintained
• Ensure cost and margins are maximized per vendor promotions and registrations
• Verify order details including customer information, product specifications, quantities, pricing, and delivery requirements
• Coordinate with warehouse, shipping, or vendor teams to confirm order fulfillment and track delivery status
• Prepare invoices, purchase orders, packing slips, and related order documentation
• Monitor open orders and communicate proactively with customers and internal stakeholders regarding order status, delays, or discrepancies
• Process order changes, cancellations, and returns in accordance with company policy
Administrative Support (~25%)
• Provide general administrative support to the sales and operations teams, including scheduling, correspondence, and file maintenance
• Maintain organized physical and digital filing systems for orders, contracts, and customer records
• Assist with the preparation of sales presentations, proposals, and reports as directed
• Answer incoming calls and emails, routing inquiries to the appropriate team member
• Support special projects and process improvement initiatives as assigned by management
• Properly and completely create and update information in ConnectWise Manage
• Assist in execution of sales and marketing strategies
• Help in maintaining and organizing calendars for executives when called upon
• Identify and report customer concerns and issues and bring new ideas on how to provide better customer support
• Maintain a positive attitude and consistently demonstrate the adherence to IP Consulting’s mission and values
GENERAL REQUIREMENTS
Required:
• Proficiency in CRM software (e.g., Salesforce, HubSpot, Microsoft Dynamics, or similar)
• Strong data entry skills with a high level of accuracy and attention to detail
• Computer literacy (Microsoft Word, Excel, Outlook, OneNote, SharePoint)
• Strong written and verbal communication skills
• Ability to prioritize multiple tasks in a fast-paced environment
• Service orientation and ability to interact professionally with customers and colleagues
• Strong organizational skills and follow-through
Preferred:
• Familiarity with order fulfillment workflows and supply chain basics
• Working knowledge of order management or ERP systems (e.g., SAP, NetSuite, QuickBooks)
• Experience with data quality auditing or data hygiene practices
• Knowledge of basic invoicing and billing processes
• Associate’s degree in business management or related field
• Experience with ConnectWise or similar CRM is preferred.
• Technology skills preferred with firm understanding of hardware and software.
• Ability to work well with others under deadline situations and quickly respond to changes in priorities.
• Employ problem-solving skills and analysis, and report problems to the Sales Team as needed.
