Job Summary:
In this role, you will play a crucial part in supporting the planning and execution of our projects. As a detail-oriented individual with a passion for administration and project management, you will be responsible for creating and managing project scope and associated trackers, creating meeting notes and assigning coordinating tasks, managing resources, and fostering collaborative relationships with our valued collaborators. Your contribution will be vital in ensuring the success of our projects. This person will work closely with the Health Education Manager, Director of Development, and CEO.
Responsibilities:
- Based on project scope, tracking deliverables and adding project tasks, subtasks, deadlines, and job assignments to our online project management program (we use Wrike for project management).
- Coordinating with team members and stakeholders to keep the project timeline on schedule.
- Engaging in outreach and coordination with project collaborators or vendors, fostering effective collaboration through channels such as websites, phone, email, internal messaging platforms, and social media. Tracking engagement in Zoho or on project google sheet trackers.
- Organizing project files in Google Drive.
- Creating, distributing, and managing surveys and responses using Zoho Survey/Forms.
- Assisting in the preparation of project presentations and deliverables (light graphic assistance using Canva).
- Providing valuable support in writing reports, including regular project progress updates (often monthly or quarterly overviews), and assisting in preparing the final project report/impact report.
- Conducting research and gathering data to support project initiatives.
- Some light video editing (using Descript, training provided).
- Provide ongoing administrative support.
- Being adaptable and willing to take on other duties as they arise within the scope of a project assistant.
Qualifications:
- 3-5+ years experience as a project assistant or similar role.
- Proficient with Google Workspace and applications.
- Working knowledge of creating, assigning, and managing tasks in Wrike (or similar project management software).
- Strong organizational skills and a keen eye for detail.
- Excellent communication and interpersonal skills, enabling you to coordinate with various stakeholders and build collaborative relationships.
- Proficiency in utilizing various project management tools and platforms.
- A proactive mindset and the ability to multitask, adapt to changing priorities, and meet project deadlines.
- Strong written and verbal communication skills, enabling you to contribute effectively to report writing and project communications.
- Strong administrative skills.
- Ability to work in a virtual environment, both independently and while also collaborating effectively with a team.
Preferred Qualifications:
- Experience with Zoho or similar client database programs.
- Experience using ChatGPT/similar AI tools as supplementary assistance.
- Experience in healthcare or related fields.
- Knowledge of autoimmune/autoinflammatory arthritis diseases.
- Understanding of grant-funded foundations and their initiatives and programs.
