Job Summary:
As an Administrative Assistant, you will play a key role in supporting the day-to-day operations of our organization by providing high-level administrative and operational support to our Health Education Manager and Director of Development. This position requires a highly organized, proactive, and detail-oriented professional who thrives in a fast-paced environment and enjoys managing multiple priorities simultaneously.

Responsibilities:
- Providing administrative support to a department manager and director, helping coordinate day-to-day operations and priorities
- Managing calendars, scheduling, and meeting coordination
- Handling email management, including monitoring inboxes, drafting responses, and prioritizing communications
- Coordinating travel arrangements, itineraries, accommodations, and logistics
- Organizing and maintaining digital files, documents, and operational records
- Preparing reports, presentations, spreadsheets, and meeting materials as needed
- Coordinating internal and external communications with professionalism and responsiveness
- Supporting operational processes and assisting with improving workflows and organization systems
- Assisting with special projects and additional administrative tasks as assigned
- Maintaining confidentiality and handling sensitive information with discretion
- Database entry (Zoho)
Qualifications
- Minimum of 5 years of direct administrative support experience
- Working knowledge of and experiencing using Wrike or a similar project management program
- Strong organizational skills and exceptional attention to detail
- Excellent written and verbal communication skills
- Ability to effectively manage multiple priorities in a fast-paced environment
- Professional, dependable, and proactive approach to work
- Strong problem-solving and follow-up skills
- Experience managing calendars, travel arrangements, and logistics
- Proficiency with Google Workspace and applications
- Ability to work in a virtual environment, both independently and while also collaborating effectively with a team
- Comfortable handling confidential and sensitive information professionally
- Experience with Zoho or similar client database programs
