Administrative Assistant for Populus Group
The administrator will be a key liaison between various stakeholders, ensuring effective communication and facilitating the smooth execution of the incentive program. They will need to possess strong organizational skills to streamline the rebate application process and promptly respond to inquiries. The successful candidate will contribute significantly to the program's success by managing administrative tasks, fostering collaboration among team members, and promoting the adoption of sustainable practices in refrigeration technologies. What You’ll Do:
· Ensure quick, accurate, and timely data entry of project work and program documentation, playing a pivotal role in maintaining organized records.
· Execute application data entry, manage databases, and undertake regular updates and maintenance to guarantee the accuracy and relevance of information.
· Collaborate with the project manager to facilitate effective team and client meetings by preparing agendas, taking minutes, tracking action items, and proactively following up on them to ensure seamless workflow.
· Handle the fielding and logging of telephone calls, emails, and online chats from customers and contractors, providing prompt and efficient responses to inquiries.
· Conduct a comprehensive review of application submissions along with supporting project documents, seek approvals to reserve project for funding, submit project for incentive payment once project is complete.
· Provide invoicing support to ensure financial processes align with program requirements. As a dedicated team player, communicate effectively within the team, fostering a collaborative and cohesive working environment.
· Conduct or attend outreach events to promote energy efficiency, clean energy programs and refrigerant replacement programs.

What is Required:
· Associates Degree in Business or a related discipline and/or 3 years of professional experience in administrative services required. Bachelor’s degree preferred.
· Excellent English communication (both verbal and written), along with superior customer service and phone skills, organization, grammar, and spelling skills are essential.
· A secondary dialect is highly preferred such as Spanish.
· Ability to work with local and national team members.
· Valid driver's license and reliable transportation required.
· Must have reliable transportation.
· Ability to work well under pressure in time-critical situations and be productive and self-motivated during slow periods.
· Ability to take direction from multiple people and perform varied tasks.
· Excellent organizational skills and attention to detail.
· Strong interpersonal skills with a customer-service attitude and team-oriented spirit.
· Strong knowledge in MS Word, Outlook, Excel, and PowerPoint.
