See yourself providing an incredibly important service to the Hugo/Centerville community as the Volunteer  Coordinator of the Hugo Good Neighbors Food Shelf.  The Volunteer Coordinator is integral in ensuring smooth operations of the food shelf and assisting the Operations Coordinator in the scheduling of the volunteers.  The schedule is extremely flexible, with the opportunity to conduct some activities from home and set your own schedule.  The Volunteer Coordinator helps the Operations Coordinator ensure all day-to-day operations of the food shelf are in order, including: ordering food, volunteer scheduling, ensuring excellent client service, and ensuring ongoing compliance with applicable regulatory agencies.   


Hourly Wage: Determined by Operations Coordinator and the Food Shelf Board, paid every-other week.


Primary Duties and Responsibilities


Client Service

  • Ensure excellent client service through the activities noted below
  • Address client/volunteer concerns, escalate to Operations Coordinator


Volunteer Coordination

  • Ensure volunteers are staffed appropriately on an ongoing basis and maintain Google Volunteer Calendar.
  • Ensure volunteers receive appropriate training and are in compliance with all requirements
  • Maintain the Volunteer and Lead binders


Food/Supply Operations

  • Assist in managing inventory to ensure adequate food is on hand to support client needs while remaining within budget, including placing orders with Second Harvest and Festival Green Bucks
  • Help with purchasing food as needed from sources such as Aldi, Cub, etc.  Continue to work to find food at the best available price, including asking for donations as needed.
  • Order/purchase necessary supplies for operations through Operations Coordinator.
  • Ensure food pickups are scheduled/coordinated 
  • Ensure food that cannot be used is adequately redistributed 
  • Assist in coordinating receipt of food from food drives, food providers, and other donors
  • Use of the food shelf van available for any operational needs.  Or Mileage is reimbursed if using your own vehicle. 
  • Assist Operations Coordinator in status and use of the food Shelf van and any maintenance or gas needs.
  • Assist Operations Coordinator in maintaining the google sign up form for clients shopping schedule.


General Operations

  • Assist in ensuring food operations are in compliance with regulatory agencies, including but not limited to: Second Harvest, TEFAP, FDA, etc.  
  • Be an advocate for the food shelf in all interactions, including with clients, volunteers, donors, and other stakeholders
  • Assist the Operations Coordinator when they are on leave.
  • Report any needs, issues, and communication to the Operations Coordinator.

Required Qualifications


  • Business, non-profit, and/or customer service experience
  • Ability to manage inventories and manage to a budget
  • Exceptional interpersonal relationship skills
  • Strong problem-solving skills
  • Self-motivated
  • Strong oral and written communication skills
  • Ability to meet and exceed deadlines
  • Ability to work at food shelf with system entries and computer work and volunteer communication
  • Some flexibility to do computer work and phone calls from home if use of self computer and phone.
  • Knowledgeable with Microsoft Excel & Word, Google Sheets & Documents. 
  • Ability to schedule volunteers and keep a schedul


Physical Demands & Working Conditions


Most work is in an office-type and non-profit environment.  Some lifting of twenty to fifty pounds is required.  Travel to the food shelf within the City of Hugo or occasionally to other areas of the Twin Cities Metropolitan Area is necessary.  Mileage on paid time is reimbursed. Attendance at evening Board of Directors meetings and related meetings as needed.  Required to be at one shift of operating hours per week (Operating Hours: Mondays and Thursdays 4:00pm-7:00pm, Tuesdays 12:00pm-3:00pm, Fridays 9:00am-12:00pm ).
