Overview:
Mentors are the heart of HOLLA. The Match Coordinator role is central to developing relationships both in the mentor community and between mentors and families. The Match Coordinator leads in match creation, match support, mentee support, mentor support, and family support for HOLLA 1-1 matches. The Match Coordinator is responsible for establishing and maintaining a relationship with mentees and their families including communication and support to families. This includes the status and health of the match, connecting to community resources, etc. The Match Coordinator is also responsible for establishing, maintaining and supporting mentors as individuals and mentors. This includes supporting mentors in creating a unique mentorship approach suited to their mentee as well as providing information and following up on relevant resources. The Match Coordinator collaborates with the Executive Director, Program Director, Administrative Coordinator/Event Coordinator and Campus Mentors in regards to programming. This role requires the ability to take initiative, even in ambiguity, and follow through with communications and tasks. It is heavily administrative in its nature as the role requires detailed record keeping and paperwork. Bilingual English and Spanish speaking and writing required.
Job Responsibilities Include:
● Coordinate with schools and community partners in regards to new referrals and matches
○ o Email introductions with teachers and mentors
○ o Finalize list of matches to school contact person, families, and HOLLA program staff by predetermined date
● Plan and facilitate the new mentor information sessions, mentor recruitment efforts and conduct new mentor interviews ahead of the beginning of each school year ● Conduct mentee interview and home visit to interview families before referral is complete ● Partner with Program Director to match new mentors and mentees
● Schedule and facilitate new match introductions at mentee home with mentor, mentee and family
● Partner with the Program Director to ensure handbook policy compliance ● Monthly check-ins with mentors via their preferred communication documented in the mentorcore system.
● Provide accountability for mentors entering sessions into mentorcore ● Monitor mentorcore for mentor sessions and following up on concerns/questions ● Provide information and reminders on an on-going basis regarding match events, mentor dinners, mentor trainings, etc. to mentors
● Connect with families at LEAST on a monthly basis to check in and document in mentorcore
● Conduct annual surveys of mentors and mentees
● Act as first point of contact for schools regarding 1-1 mentors and students ● Share information with mentors about school specific activities and calendar ● Visit school campuses at least 2x month to connect with students
● Communicate with families as needed – make sure communication is accessible in the language families require (Spanish, Russian, etc.)
● Provide monthly mentor session reports to the school contact
● Report to Program Director match status on a regular basis and any concerns or questions immediately
● Attend and help to plan monthly Mentor Mondays and Mentor Dinners to connect relationally with mentors
● Attend and work with program team event coordinator to facilitate field trips and events for matches on a regular basis
● Attend and help facilitate new mentor training last Saturday before labor day in August each year
● Implement new processes, events, or methods for communication and support for relationships as necessary
● Maintain up to date records in mentorcore
● Complete all required paperwork and documentation in a timely manner and in compliance with program and school standards
● Bilingual English and Spanish speaking and writing required
Hours and Compensation:
● 40/hours week with additional hours for special events including mentor dinners, events, etc.
● Annual salary of $60,000, paid bi-weekly
● Medical, vision, and dental insurance premiums for employee and immediate family paid by HOLLA (employee pays copays)
● $50 monthly cell phone reimbursement
● $250 annual reimbursement for mental health care
● inclusion in HOLLA’s bi annual weeks of rest
$50,000 - $60,000 per year
