Job Title: Administrative/Accounting Coordinator

Salary Range: $25 to $31 per hour


Job Overview:


We are seeking a dynamic, organized, and meticulous individual to enhance our team at High Performance Academy. This crucial full-time, hybrid role is designed for an individual experienced in executive and operational support as well as payroll and bookkeeping support. Your role would be to ensure operational efficiency and support for executive functions, demonstrating excellence in interdepartmental collaboration and a commitment to maintaining a well-organized, efficient work environment, in addition to maintaining financial accuracy and overseeing efficient payroll processes. This role will support the CEO, CFO and Executive Directors.


Essential Responsibilities:


Office Operations & Logistics

  • Efficiently handle mail reception, sorting, and scanning, directing correspondence to appropriate departments
  • Act as a liaison with IT partners to ensure all employee tech equipment functions seamlessly
  • Assist with new employee onboardings including desk set-ups and swag mailings, creating a welcoming and prepared workspace for newcomers
  • Manage supplies and inventory by ordering and restocking items
  • Coordinate office maintenance and cleanings.

Executive and Team Support

  • Provide executive and administrative support to ensure smooth operations
  • Manage communication and assisting with travel coordination, planning, and special projects for the HPA Sports Camps leadership.
  • Support the planning and execution of annual Offsite Events, showcasing strong organizational and event management skills.
  • Assist with the planning and execution of in-office events and coordinate special ad hoc office organizational projects.
  • Manage email inboxes in Outlook, addressing and routing employee requests appropriately.
  • Coordinate and schedule meetings and appointments
  • Manage and organize office files and documents
  • Assist with special projects and tasks as needed

Accounting and Billing Support

  • Work closely with the Chief Financial Officer to keep financial records pristine and facilitate audits, contributing to the organization’s financial stability
  • Process accounts payable and accounts receivable transactions, ensuring smooth and efficient financial operations
  • Efficiently manage payroll processing, guaranteeing accurate and timely payments to all employees, and reinforcing trust within our team
  • Assist with account reconciliations and swiftly resolve any discrepancies, maintaining the integrity of financial data.
  • Assist with journal entries and maintaining the general ledger
  • Utilize QuickBooks to meticulously record and track financial transactions 
  • Generate financial statements and reports for management review


Qualifications:

  • High School Diploma or GED
  • Bachelor's degree or experience in relevant filed
  • Proven experience in administrative support roles
  • Knowledge of payroll processing and bookkeeping principles
  • Proficiency in Microsoft Office Suite and QuickBooks
  • Strong organizational and time-management skills
  • Excellent communication and interpersonal abilities
  • Ability to handle sensitive and confidential information with integrity
  • Excellent detail orientation and verbal and written communication skills
  • Driven with the ability to work with minimal supervision
  • Previous experience in a sports industry setting is a plus, but not mandatory
