The Connections Coordinator plays a vital role in creating a welcoming and relational environment where guests and members feel seen, valued, and guided toward meaningful connection at Heartland Church. This role supports the execution of the Connection Experience through volunteer coordination, guest follow-up systems, ministry administration, and operational excellence. The Connections Coordinator helps foster a culture of belonging by ensuring guests and members experience a smooth, organized, and spiritually intentional connection process on weekends, at ministry events, and through ongoing engagement opportunities. Success in this role means helping people move from attending to belonging by creating a warm, organized, and responsive environment that supports meaningful next steps in community and discipleship.

Position Overview 

Primary Responsibilities 

  • Administrative Support for the Connections Department  
  • Coordinating the Sunday Connection Experience  
  • Rock RMS Database Management 
  • Volunteer Team Coordination and Support 
  • Guest Follow-up and Engagement Support 
  • Event and Ministry Support 

 

Essential Functions 

Administrative Support 

  • Provide direct administrative support to the Director of Connections, ensuring efficient and organized ministry operations.  
  • Assist with ministry scheduling, communications, reports, and preparation for meetings or events. 
  • Support connection-focused ministry initiatives and special projects as assigned. 

 

Connection Support 

  • Help ensure every guest experiences a welcoming, organized, and relational first impression from arrival through follow-up.  
  • Coordinate Connection Team operations during the weekend services and ministry events. 
  • Assist in maintaining a warm, engaging, and spiritually intentional environment for guests and members.                                                                                                                                                         
  • This position requires regular weekend availability, including Sunday services, ministry events, and occasional evening responsibilities. 

 

Coordinate Volunteer Team Operations 

  • Assist in scheduling, onboarding, and communicating with Connection Team volunteers, including Empowerment Specialists and the Info Team. 
  • Maintain accurate volunteer team roster and communication records. 
  • Help support volunteer engagement, appreciation and operational readiness. 
  • Provide day-to-day coordination and direction to volunteers serving within the Connections Ministry. 

  

Manage Connection Systems and Workflows 

  • Input and track guest data in ROCK RMS, ensuring follow-up workflows are executed in a timely and efficient manner. 
  • Maintain accurate records, notes and communication tracking and ministry engagement updates within ROCK RMS. 
  • Generate reports and assist leadership in tracking ministry engagement and connections outcomes.

Education & Experience Requirements 

 

  • 2 years of experience in church ministry, hospitality, guest services, or volunteer coordination. 
  • Bachelor’s degree in ministry, communications, leadership, or a related field preferred.  
  • Experience with database management or CRM systems required; ROCK RMS experience preferred. 
  • Proficiency with Microsoft Office suite.
