We are seeking a highly organized, hospitality-driven Event Planner to support the planning and execution of corporate meetings, executive programs, and special events. This role is ideal for someone who thrives in fast-paced environments, enjoys managing complex logistics, and is passionate about delivering top-tier participant experiences with exceptional attention to detail. The Event Planner will play a key role in venue and hotel management, food & beverage planning, hospitality services, transportation coordination, and live event execution while partnering closely with internal teams, clients, and vendor partners.

What You’ll Do

Venue & Hotel Management

·     Manage venue sourcing, site selection, negotiations, and contract coordination

·     Oversee hotel room blocks, VIP accommodations, meeting space logistics, and venue operations

·     Coordinate meeting setups, audiovisual requirements, and participant flow across programs

·     Lead on-site venue management including walkthroughs, setup oversight, and breakdown execution

Food & Beverage

·     Source and manage catering partners and hospitality vendors

·     Curate thoughtful, program-appropriate menus that align with participant demographics and dietary needs

·     Coordinate meal functions, receptions, service timelines, and on-site hospitality activations


Hospitality & Participant Experience

·     Coordinate transportation logistics, gifting, VIP services, and participant hospitality experiences

·     Support registration operations, seating management, and host staffing coordination

·     Assist with ancillary meetings, pop-up activations, and executive-level support services

·     Partner with vendors and internal teams to deliver seamless, hospitality-forward experiences


Special Events & Live Execution

·     Support receptions, dinners, incentive activities, and specialty events

·     Coordinate décor, rentals, entertainment logistics, and participant flow

·     Manage live event operations on-site to ensure top-tier execution and participant experience


Project Management & Team Collaboration

·     Maintain timelines, budgets, project documentation, and operational plans

·     Support site visits and extended on-site event delivery schedules

·     Build positive relationships with clients, vendors, and project stakeholders

·     Collaborate cross-functionally to deliver high-quality work aligned with company standards


What We’re Looking For

·     5+ years of experience in corporate conferences or events (agency experience preferred).

·     Experience managing venues, hotels, caterers, transportation, and participant logistics

·     Proven ability to manage multiple projects simultaneously with strong prioritization and adaptability.

·     Experience in client-facing roles with strong written, verbal, and interpersonal communication skills.

·     Intermediate project management skills, including familiarity with timelines, budgets, and tracking tools.

·     Proficiency in Microsoft Office (especially PowerPoint and Excel); experience with Asana or equivalent tools preferred.

·     Familiarity with event technology platforms (registration, website, or mobile app).

·     A proactive learner with strong problem-solving abilities and a collaborative mindset.

·     Bachelor’s degree or equivalent experience.

·     Place of Employment

o  Company is primarily remote. A suitable remote work environment is required including a quiet workspace with minimal distractions, reliable internet access, and the ability to effectively collaborate with stakeholders virtually (both on and off camera).

o  Domestic and occasional international travel (10+% annually, sometimes on weekends) will be required for client site visits, event execution, and company retreats. As such, candidates must reside within reasonable proximity to a major airport.
