This is a remote role within the United States; however, we are currently only hiring in the following states due to payroll and compliance requirements: Ohio, Colorado, Florida, North Carolina, Missouri, Illinois, and New Jersey.


About the Role

We're looking for an experienced Executive Assistant who adapts to what each client and executive actually needs, from high-level support to detailed execution, and who brings genuine curiosity and skill around using AI to work smarter and free up your executive's time.


As a fractional EA, you may support multiple clients simultaneously, and the day-to-day can look different from client to client. Strong prioritization, clear communication, and the ability to shift gears without losing focus are a must.


What You'll Do


At the core of every client relationship, you'll:


  • Keep executives prepared and operating at their highest level, anticipating needs, flagging issues, and solving problems before they land on the executive's plate
  • Own calendar management, resolving conflicts and protecting high-priority time
  • Organize and manage email inboxes, keeping communications prioritized and nothing falling through the cracks
  • Use AI tools as part of your daily workflow, whether that's drafting first-pass communications, summarizing meetings and notes, organizing research, building out repeatable processes, or finding smarter ways to save your executive time


Depending on your client, you may also be asked to:


  • Manage travel logistics, itinerary creation, and real-time adjustments as plans shift
  • Proofread and polish documents, presentations, and client-facing communications
  • Prepare polished PowerPoint and Google Slides decks, including structuring key messaging and ensuring visual clarity
  • Track expenses, reconcile receipts, and ensure timely submissions
  • Support proposal and contract coordination, tracking outstanding items and keeping stakeholders aligned
  • Help compile performance summaries and reporting recaps for leadership review
  • Partner on campaign or project timelines, keeping cross-functional tasks moving and deadlines visible
  • Project manage business initiatives from kickoff to completion
  • Support event planning and execution for client-facing events and meetings
  • Keep shared drives, templates, and documentation organized and accessible
  • Assist with CRM organization and pipeline hygiene (HubSpot, Salesforce, or similar)
  • Monitor sales inboxes or follow-up threads, flagging time-sensitive items
  • Assist with email marketing workflows, coordinating scheduling and managing lists
  • Support social media or content calendar planning


What We're Looking For


  • 5+ years of EA or senior administrative experience, required
  • Comfort using AI tools in your daily workflow, or genuine interest and initiative in learning how AI can make you more effective as an EA. If you've got specific examples of how you've used AI to save time or improve your work, we want to hear about them
  • Bonus: Experience setting up AI skills, agents, or automated workflows to handle repeatable tasks, not just using AI one prompt at a time
  • Strong written and verbal communication skills
  • Ability to thrive in high-intensity, fast-paced environments
  • A proactive, urgency-driven communicator who thinks ahead and follows through
  • Critical thinker who finds solutions, not just flags problems
  • Fluency in Google Workspace and/or Microsoft Office, including strong presentation skills
  • Experience with project management tools (Asana, ClickUp, Monday.com, or similar)
  • Highly organized with the ability to manage multiple clients and competing priorities
  • Remote work experience preferred; availability during standard U.S. business hours
