Hamilton Raye is a fractional executive assistant agency that provides high-level administrative support to growing businesses and leadership teams. This is a remote role within the United States, however we are currently only hiring in the following states due to payroll and compliance requirements: Ohio, Colorado, Florida, North Carolina, Missouri, Illinois, and New Jersey.
As a fractional Executive Assistant, you may support multiple clients simultaneously, depending on their needs and your available hours. This requires strong organization, clear communication, and the ability to shift priorities while maintaining exceptional service for each client. We are looking for Executive Assistants who operate as strategic partners to executives, not just task managers, helping leaders stay focused, organized, and operating at their highest level.
Responsibilities may vary by client and include:
- Executive Assistant support to C-Suite Executives or Entrepreneurs, ensuring they are always prepared and operating at their highest level.
- Proactively anticipate the needs of executives by thinking ahead, identifying potential challenges, and providing solutions before they are needed.
- Prepare executives for meetings by gathering relevant documents, summarizing key information, and ensuring they have talking points, schedules, and necessary materials in advance.
- Proofread and edit documents, presentations, and emails for clarity, accuracy, and professionalism.
- Relationship management with multiple clients, ensuring seamless communication and a personalized approach to their needs.
- Complex calendar management across multiple executives and time zones, strategically prioritizing competing requests, resolving conflicts, and ensuring seamless schedules.
- Complex travel management, including research, itinerary creation, and real-time adjustments as needed.
- Expense management and reporting, tracking receipts, reconciling expenses, and ensuring timely submissions.
- Organize and manage multiple email accounts, prioritizing urgent communications and keeping inboxes streamlined.
- Create, edit, and organize documents, reports, and presentations with exceptional attention to detail.
- Prepare PowerPoint presentations, including structuring key messaging and ensuring visual clarity.
- Project manage tasks and business projects, ensuring deadlines are met and clients are supported effectively.
- Support event planning and execution, including coordinating logistics, managing vendors, and ensuring a seamless experience for internal and client-facing events.
- Assist with marketing workflows by helping coordinate campaigns, managing timelines, and collaborating with internal or external stakeholders to ensure deliverables are completed on schedule.
- Partner on cross-functional projects, helping to track progress, organize assets, and maintain momentum across initiatives.
- Demonstrate assertiveness with soft skills, confidently communicating priorities, setting boundaries, and ensuring executives stay on track while maintaining professionalism and discretion.
- Other miscellaneous work or projects as needed on a client-by-client basis.
Qualifications:
- 5+ years of experience supporting executives, founders, or senior leadership in an administrative role
- Strong written and verbal communication skills.
- Ability to work in high-intensity, fast-paced environments.
- Excellent time management skills.
- A proactive and thoughtful communicator who responds with urgency.
- Critical thinker who is resourceful when looking to find solutions to a problem.
- Experience with tools such as Google Workspace, Microsoft Office, Slack, Zoom, project management platforms (Asana, ClickUp, Monday, etc.), and expense tracking tools is preferred.
- Availability during standard U.S. business hours, with flexibility to accommodate time-sensitive executive needs.
- Highly organized with the ability to manage multiple priorities.
- Experience supporting event planning, marketing coordination, or cross-functional project workflows is a plus.
- Familiarity with marketing tools or CRM platforms (e.g., HubSpot, Mailchimp, etc.) is a bonus but not required.
- Remote work experience preferred.
