The ideal candidate will be able to perform administrative tasks such as handling calls, calendars, database management and welcoming clients to the office. Requirements & Skills:

  • 1-2 years of experience in office setting
  • Proficient skills with MS Office Suite
  • Comfortable and familiar with CRM platforms
  • Financial Industry experience preferred, but not required
  • Strong organizational skills and strong attention to detail
  • Proficient with filing, phone systems, faxing, and scanners
  • Excellent communication skills; both verbal and written (English and Spanish preferred)

Responsibilities/Tasks: 

  • Answer and direct all inquiries to the appropriate team member
  • Greet clients in a friendly, warm manner, always offering a cafecito upon entrance to the office
  • Prepare purchase orders and keep the office stocked with supplies
  • Ensure employees are arriving and leaving on time
  • Record notes from client conversations in an accurate manner
  • Enter and maintain databases of clients and prospects
  • Maintains schedule for meeting rooms
  • Manage filing system
  • Sorts and distributes incoming mail and takes outgoing mail to post office or mailbox
  • Notifies technicians if telephone system, copier, printer, or other equipment is in need of repair or maintenance
  • Attend and contribute to team meetings
  • Maintain the office environment neat and organized
  • Maintain job-related/industry specific compliance files
  • Assist in organizing events, event supplies, and promotional material
  • Develop and mail letters to clients for various purposes upon request
  • Prioritize daily tasks to be proactive in time management
  • General backup support for all other positions consisting of varied tasks as needed
