Gray Residential manages multifamily communities across the Midwest, and we've built a centralized leasing and collections function to drive performance across the portfolio — not property by property, but as a coordinated system. We're not interested in running a call center. We're building something more deliberate: a team that moves fast, uses data obsessively, and actively leverages technology to outperform what site-level leasing and collections can do on their own.
We're looking for a Director to lead that team — someone who can run the operational day-to-day, develop the people under them, and also think like a builder when it comes to the tools and systems the team uses.
What this role actually is
You'll own the centralized leasing and collections function at Gray Residential — a shared-services team that supports site operations portfolio-wide. The two pillars of the role are distinct but inseparable.
- On the leasing side: you'll drive the full top-of-funnel strategy — centralized lead management, speed-to-lead, follow-up cadence, tour conversion, and close rates. You'll own the metrics, manage the team to them, and be accountable for the occupancy outcomes that result.
- On the collections side: you'll own the full AR lifecycle — early intervention, delinquency management, legal notice compliance, and the balance between firm enforcement and resident retention. Collections isn't a back-office function here; it's a direct driver of NOI and you'll be expected to treat it that way.
- Beyond the operational work, you'll serve as the technology and process lead for the function. That means identifying bottlenecks, partnering with our internal systems team to build and refine tools, and staying ahead of what AI and automation can do for leasing and collections workflows. We're actively building custom tooling on top of RealPage — you'll have a voice in shaping what gets built.
- You'll work closely with regional managers, community teams, and revenue management. You report to senior property management leadership.
What we're looking for
We're less interested in a résumé checklist and more interested in a pattern. The people who do well here tend to share a few things:
- They've led leasing or operations teams in a multi-site multifamily environment. They understand the funnel — speed-to-lead, follow-up cadence, tour-to-application conversion — and they've managed people to those metrics.
- They own collections. They know notice timelines, understand delinquency management, and can hold the line on policy without torching resident relationships unnecessarily.
- They're genuinely tech-forward — not just comfortable with technology but actively curious about what it can do. They've experimented with AI tools, automated manual processes, or pushed for better digital workflows in past roles. RealPage CRM experience is expected; a track record of building on top of it or alongside it is a strong plus.
- They're metrics-obsessed. They don't wait for reports — they generate them, understand what they mean, and pivot based on what they see.
- They develop people. The centralized model only works if the team is well-coached, accountable, and consistent. You'll need to hire for that, train for it, and build a culture that performs without on-site management close at hand.
- 5+ years of multifamily experience with at least 2–3 years directly managing a multi-site or centralized team.
What you can expect from us
- A centralized function that's still being shaped — meaning real architectural influence over how it's structured and what technology powers it.
- Tight collaboration with ownership and our internal systems team who are actively investing in making this function best-in-class.
- High visibility: your results in this role will move the needle directly and visibly across the portfolio.
- Straight answers about comp, expectations, and how we measure success.
- If you've led leasing or collections teams and want to work somewhere that takes the craft seriously — and gives you the tools and authority to actually run it well — we'd like to talk.
