The Director of Finance & Administration is a key member of the Grand Rapids Ballet's (GRB) senior leadership team, responsible for the financial health and administrative infrastructure of the organization. This role oversees financial operations, human resources, insurance and risk management, and general administrative operations across the Company, the School, and all outreach, engagement, and events activities.
Reporting to the Chief Executive Officer, the Director of Finance & Administration partners closely on a daily basis with GRB's external accountant and bookkeeper to ensure accurate, timely, and compliant financial management. This position also directly supervises the Manager, Operations & Facilities, and works cross-functionally with artistic, education, and advancement leadership to support the organization's mission.
Key Responsibilities
Financial Management
• Oversee day-to-day financial operations, including accounts payable, accounts receivable, and payroll processing.
• Partner closely and daily with GRB's external accountant and bookkeeper to ensure accurate and timely financial record-keeping, reconciliations, and reporting.
• Develop and manage the annual organizational budget in collaboration with the Chief Executive Officer and department leaders.
• Prepare and present regular financial reports and analysis to the Chief Executive Officer, Board of Directors, and Finance Committee.
• Monitor cash flow, financial controls, and compliance with GAAP and nonprofit financial reporting standards.
• Coordinate the annual financial audit and Form 990 preparation with external auditors and accountants.
• Oversee grant and contract financial compliance, tracking, and reporting in partnership with the Advancement & Engagement team.
Human Resources
• Manage human resources functions, including recruitment support, onboarding, benefits administration, and personnel records.
• Develop, maintain, and ensure compliance with employee policies, procedures, and the employee handbook.
• Administer employee benefits programs, including health insurance, retirement plans, and paid time off.
• Serve as a resource for staff on HR-related questions and support positive employee relations across the organization.
• Ensure compliance with applicable federal, state, and local employment laws and regulations.
Insurance & Risk Management
• Manage the organization's insurance portfolio, including general liability, property, directors & officers, and workers' compensation coverage.
• Identify, assess, and mitigate organizational risk across programs, facilities, and events.
• Review contracts, vendor agreements, and event-related risk exposure, escalating concerns as needed.
• Maintain business continuity and emergency preparedness plans in coordination with organizational leadership.
General & Administrative Operations
• Oversee general and financial operations supporting the Company, the School, and all outreach, engagement, and events activities.
• Directly supervise the Manager, Operations & Facilities, providing guidance on administrative and operational priorities.
• Support the Chief Executive Officer and Board of Directors with financial reporting, board meeting materials, and governance-related administration.
• Continuously evaluate and improve administrative systems, processes, and internal controls across the organization.
Qualifications
• A passionate commitment to the Ballet's mission, vision, and values as well as the role of arts organizations in general.
• Bachelor's degree in accounting, finance, business administration, or a related field (or an equivalent combination of education and experience); CPA or MBA a plus.
• Minimum of 5-7 years of progressively responsible experience in financial management and administration, preferably within a nonprofit organization.
• Strong knowledge of nonprofit fund accounting, budgeting, and financial reporting practices.
• Experience with payroll processing, human resources administration, and employee benefits management.
• Experience managing insurance programs and organizational risk.
• Excellent organizational and analytical skills, with the ability to manage multiple priorities and deadlines.
• Strong written and verbal communication skills, with the ability to interface professionally with staff, board members, donors, and external partners.
• Demonstrated supervisory experience and the ability to lead and develop staff.

• Proficiency in accounting software and the Microsoft Office 365 suite of applications (Teams, Word, PowerPoint, Copilot, Outlook, Excel).
Position Requirements
• Full-time, exempt position at 0.8 to 1.0 FTE (32 to 40 hours per week); weekdays with occasional evenings and weekends as necessary to support Ballet performances and events.
• Occasional travel.
• Valid driver's license.
