Summary/Objective

Golden Oaks Law Group, LLP is a full-service trust and estates law firm specializing in wealth management, preservation, and transfer. The Records and Data Clerk provides essential operational support to the entire legal and administrative team, including Paralegals, Administrative Assistants, Wealth Transfer Specialists, and Attorneys. This role is responsible for the accurate intake of client data and the meticulous management of physical and digital case files to ensure the firm operates efficiently.


Essential Functions

Cross-Departmental Support

  • Team Collaboration: Assist Attorneys, Paralegals, and Wealth Transfer Specialists by ensuring all client documents are processed and available for review.
  • Information Retrieval: Quickly locate and provide physical or digital files upon request to support discovery meetings, client calls, or document drafting.

Data Entry & System Integrity

  • Accurate Data Input: Enter information from client-provided documents into the firm’s legal software with exceptional attention to detail.
  • Asset Logging: Help Wealth Transfer Specialists by inputting financial account details and asset information into the system to facilitate funding plans.
  • Quality Assurance: Proofread data entries to ensure they match original client records, maintaining the high standards required for estate planning, trust administration and other related cases.

Records & Physical File Management

  • Physical File Maintenance: Create and organize physical case files, ensuring they are easily accessible for the legal team.
  • Digital Scanning: Scan all incoming physical mail and client documents, filing them correctly within the firm’s software.
  • Confidentiality: Handle all client information with strict adherence to privacy standards and firm policies.

Position Requirements

  • Education: High School Diploma or equivalent required.
  • Technical Skills: Basic proficiency with computers, including experience with email, internet browsers, and digital scanning equipment.
  • Detail Oriented: Strong focus on accuracy and the ability to catch errors in data or spelling.
  • Communication: Ability to follow instructions clearly and work effectively within a professional team environment.
  • Organization: Ability to handle multiple tasks and meet deadlines in a timely manner.

Pay Range

Depending on Experience

$19.00 - $22.00 per hour


Work Schedule

Weekly Hours: 28 hours per week

Part-time; the specific schedule will be determined based on the Managing Partner's requirements and the availability of the applicant.


Work Environment

Indoor, office setting


Physical Demands

·        Prolonged periods of sitting and working at a computer workstation.

·        Extended periods of focus and concentration to ensure accuracy and attention to detail.

·        Occasional lifting of files, boxes, or other materials weighing up to 20 pounds.
