GhostRanch Communications is a creative agency that specializes in presentation design and the art for storytelling. We work closely with B2B product marketers, c-level executives, event teams, and founders. The clients we support are often tasked with creating critical messaging and visuals, then packing it up into high-value assets and tools to help their teams drive revenue. In many cases, our clients do not have access to an in-house team for dedicated design and narrative support. They often lean on GhostRanch to be their partner in supporting visual storytelling, narrative development and strategic product marketing services.

Job Summary:

The Project Manager/Traffic Coordinator plays a pivotal role in our fast-paced environment, ensuring optimal workflow, providing project oversight and overseeing team bandwidth. They will effectively coordinate between internal teams, manage resource allocation, and forecast workloads to ensure efficient and timely delivery of projects. The team relies heavily on this role for guidance on delegating projects and tasks, confirming achievable delivery dates, and providing updates on overall capacity. 



Essential Functions of the Position:


Project Management:

  • Ensure projects stay on agreed timelines and within scope while working with Ops team on developing action plans to mitigate risks
  • Act as liaison with Creative team and Accounts team to ensure client due dates are defined, project milestones are clear and scheduled hours are parallel to overall budget
  • Maintain and document team communications through daily check-ins via slack, email and project management platform
  • Maintain a high level insight into all projects agency wide at all times
  • Work with Account Managers to establish project workbacks
  • Ops Team, Creative Directors, and Account Managers are kept up to date on Daily Priorities and any major changes in schedule 
  • Ongoing management and upkeep of active projects through utilizing our PM tool, file share system, and time tracking/estimating software
  • Attend daily Studio Stand-up meetings




Project Resources and Traffic Coordinating: 

  • Work with Ops team to predict resources needed to reach project objectives
  • Work with Ops Team and Creative Directors on establishing internal teams for new engagements
  • Serve as key point person in securing internal and external scheduling for the Creative team and freelancers
  • Responsible for in depth knowledge of full agency bandwidth in order to confirm sound, realistic turn around times
  • Ensure Traffic Calendar up to date and maintain 4-6 weeks of projections and project forecasting
  • Review Client SOW’s to establish Traffic Calendar workbacks and hour allocation
  • Support Ops team with freelancer scheduling and communications 
  • Attend weekly Forecasting meetings



Required Skills & Abilities:        

  • Strong organizational and multitasking skills with an acute attention to detail
  • Excellent interpersonal skills and clear communication skills for effective coordination between teams is crucial
  • Proven ability to forecast and plan for accurate resources and workload adjustments in a dynamic environment 
  • Understands and is flexible when it comes to fluctuations of projects and is able to pivot quickly while maintaining composure
  • Ability to analyze project data to make informed decisions and process improvements
  • Remain calm under pressure and can manage a high volume of internal communications


 

Education & Experience:

  • Bachelor’s degree in Business Management, Project Management, or a related field.
  • Minimum 3-5 years of experience in a traffic management and/or project management role, preferably in a design or creative agency setting
  • Proven track record of handling high-pressure situations, managing multiple projects concurrently, and tight deadlines, ensuring smooth project flow
  • Demonstrated experience in coordinating and managing multiple design projects simultaneously, with a record of delivering on time
  • Familiarity with presentation design software and tools, project management platforms (Trello preferred), Google Workspace, and understanding the time and resources needed for various tasks



Position Requirements:

  • Location: Fully Remote
  • Ability to work independently in a fully remote environment
  • Hours: 30-40 hours per week
  • Applicants located EST or CST preferred but flexible 
  • Travel Required: No travel required 
  • Work Type: Contract/Seasonal
  • Duration of Assignment: 4 months, July 2024-October 2024

Position reports to Director of Operations

Salary

$28 - $35 per hour
