Job Description:

We are seeking a dynamic and organized Office Manager to oversee the administrative operations of our clinic. The Office Manager will play a crucial role in ensuring the smooth and efficient functioning of the clinic, supporting the clinical staff, and providing exceptional service to our patients.

Key Responsibilities:

- Manage day-to-day operations of the clinic, including scheduling appointments, handling patient referrals and inquiries, and maintaining patient records.

- Supervise administrative staff and provide training and support as needed.

- Collaborate with the clinical team to ensure seamless coordination between administrative and clinical functions.

- Oversee billing and insurance processes, including verifying insurance coverage, submitting claims, and resolving billing issues and issuing statements.

- Monitor inventory levels of office and clinic supplies, and place orders as necessary.

- Maintain a clean and organized clinic environment that complies with health and safety regulations.

- Assist with HR functions such as recruiting, onboarding, and performance evaluations.

- Handle financial tasks such as managing budgets, tracking expenses, and preparing financial reports.

- Implement and maintain office policies and procedures to ensure efficiency and compliance.

- Lead social media and marketing efforts as well as company social events for team building


- Bachelor's degree in healthcare administration, business management, or a related field (preferred).

- Experience in private practice outpatient physical therapy setting

- Proven experience in a healthcare or medical office setting, with a focus on outpatient services.

- Strong organizational and multitasking skills with the ability to prioritize tasks effectively.

- Excellent communication and interpersonal skills for interacting with patients, staff, and external stakeholders.

- Proficiency in medical billing software and electronic health records (EHR) systems.

- Knowledge of healthcare regulations and compliance requirements.

- Leadership experience and the ability to motivate and support a team.

- CPR certification (preferred).
