We are seeking a proactive and organized Part-Time (20-30hrs per week) Sales Admin to join our team. In this role, you will assist with critical administrative tasks such as managing customer data in HubSpot, handling sales transactions in Stripe, and organizing leads post-conference. You will also provide essential support for sales projects, helping the team meet deadlines and track progress efficiently. Additionally, you’ll oversee and innovate sales automations to streamline processes and enhance productivity. Effective communication and collaboration via Slack will be key to ensuring team alignment and smooth operations. The ideal candidate is proactive, detail-oriented, and comfortable managing multiple tasks in a fast-paced environment.

Description

Key Responsibilities:

Sales Team Support:

  • Take an analytical approach to sorting post-conference leads by distinguishing potential leads from existing customers, then delegating and importing lists into the appropriate systems for follow-up.
  • Assist Account Managers and SDRs with administrative tasks, such as scheduling meetings, taking meeting notes, and preparing sales reports.
  • Help prepare and distribute sales materials as needed.
  • Assist the sales team with various tasks, often related to sales projects and ongoing initiatives. Helping to ensure deadlines are met and progress is tracked effectively.

Stripe Management:

  • Update and manage sales transactions and invoices in Stripe, ensuring accuracy and timely processing.
  • Reconcile transactions and resolve any discrepancies with the sales team.

HubSpot Maintenance:

  • Help maintain and update customer data, ensuring accuracy in HubSpot.
  • Manage the HubSpot Inbox to ensure incoming communication is assigned appropriately.
  • Assist with CRM organization and optimization to improve customer engagement and tracking.

Automation Oversight & Innovation:

  • Oversee existing sales-related automations and workflows to ensure optimal performance.
  • Continuously explore and implement new automation opportunities to improve efficiency and reduce manual tasks.
  • Troubleshoot any automation issues and work with the sales team to identify areas for process improvement.

Slack Management:

  • Stay on top of internal communications in Slack to promptly respond to questions, provide updates, and ensure alignment across the team.
  • Monitor important sales-related channels and relay critical information to the team.

Collaboration & Communication:  

  • Communicate effectively with team members to ensure alignment and support throughout the sales process.


Qualifications:

  • Proven experience in an administrative or sales support role, preferably within a SaaS or nonprofit fundraising environment.
  • Familiarity with Stripe, ClickUp, HubSpot, and workflow automation tools (experience with Zapier and Make is a plus).
  • Strong problem-solving skills and the ability to innovate new processes and automations.
  • Excellent attention to detail and strong organizational skills.
  • Ability to manage multiple tasks and deadlines in a fast-paced environment.
  • Strong communication skills, both written and verbal.
  • Tech-savvy and able to quickly learn new software tools.
  • A positive attitude, self-motivation, and a willingness to work as part of a team.
