As we continue to grow, we are seeking an Operations Specialist to support our transportation operations team by providing proactive shipment visibility, carrier communication, and load tracking support.

 

Position Overview

The Operations Specialist plays a critical role in ensuring Freight Flex maintains accurate, real-time visibility on customer shipments. This position is responsible for tracking and tracing loads, communicating with carriers, updating transportation management systems, and escalating service issues when necessary. This role is ideal for someone who thrives in a fast-paced environment, enjoys problem-solving, and has strong communication and organizational skills.

 

Key Responsibilities

  • Monitor and track active shipments to ensure on-time pickup and delivery performance.
  • Work on new and existing accounts to grow using our processes.
  • Communicate with carriers via phone, email, and technology platforms to obtain shipment status updates.
  • Accurately update load information and milestones within Freight Flex's transportation management system (TMS) and CRM systems such as HubSpot.
  • Identify and proactively communicate shipment delays, service failures, and exceptions to internal teams.
  • Verify carrier compliance with tracking requirements and customer expectations.
  • Work closely with carrier sales, customer sales, and operations teams to provide shipment visibility.
  • Maintain detailed records of communications and shipment updates.
  • Handle client issues that require advance industry knowledge.
  • Respond to client escalations to solve client issues quickly and ensure smooth operations at origin and destination.
  • Troubleshoot and resolve missed pickups/deliveries, equipment breakdowns, driver delays/reschedules.
  • Escalate critical issues to leadership when necessary.
  • Assist with reporting, data entry, and operational projects to improve efficiency and customer service.

 

Schedule Expectations

Monday to Friday 8 AM to 5 PM (EST)

1 day onsite, 4 days WFM

One weekend a month on call


Compensation

Base salary is 40-50K a year

20% commission on all new business sold.

 

Qualifications

1–3+ years experience in freight brokerage, logistics, or 3PL operations preferred

 

Strong understanding of:

  • Load lifecycle (dispatch → transit → delivery)
  • Carrier communication and management
  • Ability to remain calm and decisive in high-pressure situations
  • Excellent communication skills (phone, email, text)
  • Highly organized with strong attention to detail
  • Self-starter with the ability to work independently

 

Preferred Skills

  • Experience using TMS platforms, 3PL Software, HubSpot, Highway, DAT, McLeod, Truckstop, MercuryGate, MacroPoint.
  • Familiarity with truckload, LTL, and/or drayage operations
  • Strong problem-solving and decision-making ability
  • Ability to multitask across multiple shipments simultaneously
