Operations Manager with emphasis on billing, HR, documentation, systems, and project management

Job Summary

We are looking for a highly organized, detail-oriented Operations Manager to lead and improve core business operations across billing, HR, documentation, and internal systems. This role will ensure the company's internal engine runs smoothly—owning projects and processes that support team performance, financial accuracy, compliance, and scalable growth.

You will play a critical role in supporting our fast-growing SaaS business by managing key operational systems and executing strategic projects that streamline our backend and empower all departments.


Key Responsibilities

Billing Operations

  • Own and manage the subscription billing process end-to-end using tools like Chargebee, Stripe, or similar platforms.
  • Reconcile monthly billing data to ensure accuracy and resolve discrepancies in partnership with the Finance team.
  • Collaborate with Sales, Customer Success, and Product to optimize invoicing workflows, pricing transitions, and renewals.
  • Maintain clean audit trails and assist with financial reporting and forecasting.

HR & People Operations

  • Oversee and administer core HR processes such as onboarding, offboarding, benefits enrollment, and employee lifecycle documentation.
  • Maintain and improve HR systems (e.g., Gusto, Rippling, BambooHR), ensuring compliance with employment laws and company policies.
  • Coordinate with leadership to support hiring, performance reviews, and internal communications.
  • Serve as point of contact for HR-related inquiries from team members.

Systems & Internal Tools

  • Manage the company’s internal tech stack, including workspace permissions, access control, user provisioning, and renewals.
  • Evaluate and implement new tools that improve internal workflows, documentation, or productivity.
  • Document and maintain clear SOPs for recurring internal processes to ensure cross-functional clarity and continuity.

Project & Process Management

  • Lead and track cross-functional operational projects, ensuring timely delivery and stakeholder alignment.
  • Manage internal project boards, standups, and status updates using tools like Notion, Asana, ClickUp, or similar.
  • Continuously identify opportunities to streamline workflows, automate repetitive tasks, and improve interdepartmental communication.

Company Documentation & Knowledge Management

  • Own the development and organization of internal documentation—including company handbooks, SOPs, tool guides, and onboarding resources.
  • Ensure key operational documents are regularly updated, accessible, and version-controlled.
  • Champion a documentation-first culture to scale knowledge and reduce dependency on tribal knowledge.
