Position Overview
Focus Practice Management is seeking an experienced Accounting & Financial Operations Manager to oversee day-to-day accounting operations for multiple affiliated entities while maintaining strong financial controls, accurate reporting, and efficient workflows.
This is a hands-on accounting leadership role that combines operational accounting responsibilities with oversight of key financial processes. The successful candidate will serve as the primary accounting resource for the organization, working closely with the CFO and senior management to ensure accurate financial reporting, strong internal controls, timely completion of accounting functions, and continuous process improvement.
The position is primarily focused on accounting operations, bookkeeping, financial reporting, reconciliations, payroll oversight, cash management, and operational support. Human resources responsibilities are intentionally limited and exist primarily to provide continuity and backup support. The successful candidate will work collaboratively with the team member responsible for personnel administration, employee support, benefits administration, and HR processes to help ensure payroll accuracy, administrative continuity, and effective coordination between accounting and employee-related functions.

Key Responsibilities
Accounting & Financial Operations
- Oversee daily accounting operations for Focus Practice Management and affiliated entities.
- Maintain accurate financial records using QuickBooks Online and related accounting systems.
- Perform and review bank reconciliations and balance sheet account reconciliations.
- Manage accounts payable workflows, vendor payments, expense tracking, and account coding.
- Monitor accounts receivable activity and assist with collections efforts.
- Review and reconcile credit card activity and supporting documentation.
- Maintain general ledger accuracy and accounting documentation.
- Prepare monthly financial statements and management reporting packages.
- Assist with budgeting, forecasting, and financial analysis projects.
- Track intercompany transactions and management fee allocations.
- Prepare supporting schedules for member distributions and ownership-related reporting.
- Coordinate annual audits and provide requested information to outside accountants, auditors, and advisors.
- Assist with trust accounting, billing support, and professional-service accounting functions where applicable.
- Identify and implement process improvements to increase efficiency, strengthen controls, and improve reporting.
- Assist leadership with special accounting and operational projects.
- Support accounting functions for affiliated healthcare, professional services, and real estate entities.
Financial Leadership & Strategic Support
- Work directly with the CFO and senior management on financial reporting, operational initiatives, organizational planning, and workflow improvements.
- Assist with the development and implementation of accounting policies and procedures.
- Provide timely financial information and analysis to support management decision-making.
- Participate in discussions related to budgeting, staffing, technology enhancements, and operational improvements.
- Help develop scalable accounting processes that support organizational growth.
- Assist with training and cross-training initiatives to ensure continuity of critical accounting functions.
- Support special projects involving financial analysis, operational efficiency, and process improvement.
Payroll Oversight & Administration
- Provide accounting oversight and review of payroll-related activities.
- Review payroll reports, journal entries, tax filings, and reconciliations for accuracy.
- Serve as backup payroll processor utilizing Gusto and related platforms as needed.
- Assist with retirement plan contributions, HSA administration, payroll audits, and payroll compliance requirements.
- Coordinate with payroll providers, benefit vendors, accountants, and tax professionals as necessary.
- Support annual reporting requirements, insurance audits, and compliance initiatives related to payroll administration.
- Assist with member distributions, management fee processing, and related recurring financial activities.
Administrative Continuity & Cross-Functional Support
- Maintain familiarity with employee onboarding, benefits administration, and related administrative processes to ensure continuity of operations.
- Provide backup support for payroll administration, onboarding processes, and benefits-related activities when needed.
- Collaborate with the employee responsible for personnel administration to ensure accurate payroll, benefits, and employee data.
- Support maintenance of employee, payroll, and benefits records.
- Assist with open enrollment support and compliance-related documentation as requested.
- Provide backup administrative coverage during vacations, absences, or peak workload periods.
- Assist with special projects that require coordination between accounting, payroll, and operational teams.
Required Qualifications
- Associate Degree or Bachelor's Degree in Accounting, Finance, Business Administration, or a related field, or an equivalent combination of education and experience.
- Minimum of five (5) years of accounting, bookkeeping, or financial operations experience.
- Strong proficiency with QuickBooks Online.
- Experience managing multiple entities or complex accounting environments.
- Working knowledge of payroll processes and payroll-related accounting.
- Strong understanding of financial statements, reconciliations, accounting controls, and financial reporting.
- Advanced proficiency with Microsoft Excel and related business software applications.
- Strong organizational skills and attention to detail.
- Excellent communication, problem-solving, and analytical abilities.
- Ability to maintain confidentiality and discretion regarding financial and personnel information.
Preferred Qualifications
- Experience in a law firm, healthcare organization, professional services firm, or practice management environment.
- Experience with Gusto payroll platform or a comparable payroll system.
- Familiarity with law firm accounting, billing systems, trust accounting, or professional services accounting.
- Experience coordinating external audits and tax reporting processes.
- Knowledge of New York payroll and employment compliance requirements.
- Experience implementing accounting technology and workflow improvements.
- CPA, CMA, or other accounting certification is a plus but not required.
Compensation & Benefits
Salary Range: $65,000 - $75,000 annually, commensurate with experience and qualifications.
