Job Summary:

The Bookkeeper/Finance Secretary position is a part-time, hourly position (estimated at 5-8 hours per week) that is responsible for the Church’s financial accounting. The Bookkeeper must possess the highest degree of business ethics, integrity and confidentiality given the financial responsibilities associated with the position. The bookkeeper must be able to work well as part of a ministry team.


Job Responsibilities & Duties

  • Enter all Invoices & Bills received into the Church accounting software (Quickbooks).
  • Write checks as per a schedule agreed upon and set by the Board of Trustees and as cash flow allows, obtains approvals from committee chairs as needed and records transactions against accounts up to the budget limit when possible.
  • Reconcile all Financial accounts and submit monthly reconciliations to the Treasurer for review and sign-off.
  • Review employee time-tracking submissions and process payroll.
  • Receive, Record, and Deposit donations and other monies received by the Church.
  • Prepare monthly, quarterly, and Annual financial statements and other requested reports for Church committees.
  • Assist in developing a yearly budget draft for review and adoption by the Board of Trustees.
  • Prepare for, and cooperate with, any audits of financial records, as well as Worker’s Compensation and other regulatory agencies
  • Prepare and mail Annual giving statements to the congregation.
  • Regularly review the financial and accounting operations and provide recommendations for changes to the Pastor, Treasurer, & Board of Trustees.
  • Prepare IRS & State of California submissions such as 1099s, W2s, SI-100, etc.
  • Process, track, and acknowledge special or designated donations/memorials in Quickbooks, tracking their implementation as funds are disbursed for their intended use.
  • Follow all Financial Policies & Procedures as established by the Board of Trustees.
  • Perform other necessary and related work as may be assigned.

Job Qualifications:

  • Must be at least 18 years of age or older.
  • College Degree in accounting or financial management preferred
  • Financial experience, preferably in a non-profit/church Environment.
  • Experience or education in bookkeeping and/or accounting.
  • Proficiency in the use of computers and with Microsoft Office, QuickBooks Online, 

& Google Docs. Experience with Church Management Software (RockRMS) is a plus.

  • Ability to work independently and take initiative.
  • Organized, with an attention to detail.
  • Professional, able to maintain confidentiality.
  • Strong command of financial accounting principles and general business knowledge (FMLA, Sick Leave, California Wage & Hours, etc.)
  • Must pass a criminal background check.

Organizational Relationship & Supervision:

This position reports to the Pastor but will work closely with the Treasurer, Secretary, and Board of Trustees. The Pastor, in cooperation with the Staff Parish Relations Committee, will provide an annual evaluation of the bookkeeper’s performance. This person will be responsible and subject to United Methodist policy and doctrine and local church policy as determined by the Charge Conference, Pastor, Board of Trustees, and Staff Parish Relations Committee.

$28 - $35 per hour
